The reprocessin
g history log shows a list of the last successful reprocessing run for each congured
domain. The log
includes each domain group, when a domain was reprocessed last, and the number of
processed les
. This report is based on data from cell groups, which is averaged from the individual
smart cells of
each group.
To display the reprocessing history logs:
Scroll to the bottom of the Reprocessing view.
Repository-level retention
Use the Retention view to con gure retention periods for d omains and repositories. For instance, you
can remove expire d stored data or remove access to stored data for specic repositories based on
user-dened retention policies. When retention rules locate expired data, references to expired data are
removed from the index and the data itself g ets removed from the le system once all references to that
data have been removed. This is useful to meet compliance requirements where your company must
retain all emails for a specied number of years.
In addition to a history log report, the Retention view displays each domain’s retention period and status.
Each domain has a retention period and each repository within the domain has a retention period. If the
domain’s retention period is greater than a specic repository’s retention period, the domain’s retention
period is applied to that repository. Otherwise, the repository’s retention period is applied.
NOTE:
Quarantine repositories are the exception to this rule because they have an innite retention period.
Instead, you can delete a quarantine repository from the RISS Web Interface, which re moves the
quarantine messages from the repository during the next retention cycle.
Displaying the Retention view
To display the Retention view:
Click Data Management > Ret e ntion in the left menu.
Searching for user repositories
Use this feature to locate a user’s repository, which is useful if you do not know which domain the
repository resides. After locating the repository, you can view or edit the repository’s retention period.
To search for a user’s repository:
1. In the Retention view, enter the user’s login name in the Search for User Repositories box and
click Se arch. Use an asterisk (*) for wildcard searches. For example, entering dept38* locates all
repositories with user nam es that beg in with dept38.
2. From the search results, use the navigation links or click one of the repository lter but tons to locate
the repository, if needed. Then, click the repository name to view o r edit its retention period.
3. Complete the form to set the retention period.
4. Click Save Retention.
5. To ensure that retention is enabled, verify that the Retention Status check box for that repository’s
domain is selected. If selected, the text Enabled appears next to the check box.
Editing domain retention periods
To view or edit a domain’s retention period:
1. In the Retention view, click Edit next to the domain you want to view or edit.
