Compressing the
database size
Use the Configur
e Data panel to ma nually compact (compress) the client database. The database is
compacted auto
matically each time you open Document Manager. For more information about the client
database, see
"Modifying database entries" on page 67.
NOTE:
You cannot compact the database while the Active-Archive Bin contents are open in Windows Explorer.
To compress the database:
1. Display the Advanced Client Configuration Settings dialog box. See "Accessing advanced
features"onpage62.
2. Click the Configure Data tab.
3. Click Compact D atabase.
4. Click OK to close the Advanced Client Configuration Settings dialog box.

Resuming after quitting improperly
The following explains what to do in case you were not able to quit Document Manager properly. This
situation can arise if one or more of the following occurs:
• Your machine loses power
• Your machine restarts following an unexpected shutdown
• YouquitDocumentManagerbyclickingEnd Task in Windows Task Manager
When Document Manager restarts again, it reprocesses any documents that were b eing processed for
archiving at the time of failure. This reprocessing ensures that these documents are archived, but it also
implies the possibility that some documents will be archived t wice. Duplicate archived documents present
no problem, other than your seeing the same document returned twice in search results.
If Document Manager quit improperly and then restarted, check to ensure that automatic a rchiving is
started or stopped as you intend. See "Starting and stopping automatic archiving" on page 55 for more
information. Failing to quit Document Manager properly can change the setting.
No further a ction is ne cessary unless both of the following are true:
• You added one or m ore PST files to the archiving queue.
• Document M anager is con figured to archive the em ail messages contained in a queued Outlook
Personal Folder (PST) file.
If both of these conditions are true, quitting Document Manager improperly can cause additional folders
to be added to your Outlook folders list regardless of whether you had O utlook open at the time.
Document Manager always uses Outlook (without visibly opening it) to process the ema il messages
contained in PST files.
When Document Manager processes a PST file for archiving, the co ntents are temporarily o pene d as a
new message folder in your list of Outlook folders. You nam e the corresponding Outloo k folder when
you create a PST file (the name is “Personal Folders” by d efault). For example, if you enter Project in
the Name field of the Create Microsoft Personal Folders dialog box when you create a PST file a nd
