1 General setup 1 1 IMPORTANT NOTE 1 Most of the illustrations in this User's Guide show the MFC-J470DW. Memory Storage Your menu settings are stored permanently, and, in the event of a power failure, will not be lost. Temporary settings (for example, Overseas Mode) will be lost. If you have chosen Set New Default for your preferred FAX 1 and COPY settings, those settings will not be lost. However, you may have to reset the date and time.
Chapter 1 Beeper Volume When the beeper is on, the machine will make a sound when you press a key, make a mistake, or after you send or receive a fax. You can choose a range of sound volume levels, from High to Off. a b Press a or b to choose General Setup. Press OK. Press a or b to choose Volume. Press OK. d Press a or b to choose Beeper. Press OK. e Press a or b to choose Low, Med, High or Off. Press OK. 2 Speaker Volume You can choose a range of speaker volume levels, from High to Off.
General setup Automatic Daylight Saving Time (MFC models) You can set the machine to change automatically for daylight saving time. It will reset itself forward one hour in the Spring and backward one hour in the Fall. Make sure you have set the correct date and time in the Date & Time setting. The factory setting is Off, so you will have to turn on Automatic Daylight Saving Time as follows. a b Press Menu. c Press a or b to choose Date & Time. Press OK. d Press a or b to choose Auto Daylight.
Chapter 1 Auto Power Off (DCP model) The Auto Power Down feature will turn off the machine after it has been in Sleep Mode the number of hours you choose. When this feature is Off, the machine will remain in Sleep Mode and not turn itself off. General setup Mode Timer (MFC models) 1 1 The machine’s control panel has four temporary mode keys: FAX, SCAN, COPY and WEB. You can change the amount of time the machine takes after the last Fax, Scan, Copy or Web operation before it returns to Ready mode. If you choose Off, the machine stays in the mode you used last. a b Press Menu. c Press a or b to choose Mode Timer. Press OK. d Press a or b to choose 0Sec, 30Secs, 1Min, 2Mins, 5Mins or Off. Press OK. e Press Stop/Exit.
2 Security features (MFC models) TX Lock TX Lock lets you prevent unauthorized access to the machine. While TX Lock is On, the following operations are available: 2 Setting and changing the TX Lock password 2 2 NOTE If you have already set the password, you will not need to set it again. Receiving faxes PC-Fax Receive 1 (If PC-Fax Receive was already On) 1 While the TX Lock feature is turned on, your machine will receive faxes and store them in its memory.

3 Sending a fax (MFC models) Additional sending options Sending faxes using multiple settings When you send a fax, you can choose a combination of settings, such as Fax Resolution, Contrast, Glass ScanSize, and Real Time TX. You can also choose: Outgoing Call, Caller ID hist., Address Book, Broadcasting, Overseas Mode, Set New Default, and Factory Reset. Some settings are only available when sending black & white faxes. a Load your document. b Press (FAX).
Sending a fax (MFC models) NOTE NOTE Even if you choose Light or Dark, the machine will send the fax using the Auto setting in either of the following conditions: You can choose four different resolution settings for black & white faxes and two for color faxes. • When you send a color fax. Black & White • When you choose Photo as the Fax Resolution. Changing fax resolution The quality of a fax can be improved by changing the fax resolution. a Load your document.
Chapter 3 Setting your changes as the new default 3 You can store the fax options you use frequently for Fax Resolution, Contrast, Glass ScanSize and Real Time TX by saving them as the default settings. These settings will stay until you change them again. Sending a fax manually Press b Press a or b to choose the setting you want to change, and press OK. Then press a or b to choose your new option. Press OK. To send a multi-page fax, use the ADF.
Sending a fax (MFC models) Dual Access (Black & White only) How to broadcast a fax 3 You can dial a number and start scanning the fax into memory—even when the machine is sending from memory, receiving faxes or printing PC data. The LCD shows the new job number. a Load your document. b Press c Press a or b to choose Advanced Settings. Press OK. 3 (FAX). 3 The number of pages you can scan into the memory will vary depending on the data that is printed on them.

The LCD will show the fax number being dialed and the Broadcasting job number. d Press OK. The LCD will ask you the following question: Cancel Job? Yes i Press 1 No i Press 2 e Press 1 to cancel the fax number being dialed. The LCD will then show the Broadcasting job number. f Press OK.
Sending a fax (MFC models) Real Time Transmission 3 When you are sending a fax, the machine will scan the document into the memory before sending it. Then, as soon as the telephone line is free, the machine will start dialing and sending. Sometimes, you may want to send an important document immediately, without waiting for the machine to scan it into memory. You can do this by turning on Real Time TX. a Load your document. b Press c Press a or b to choose Advanced Settings. Press OK.
Chapter 3 Checking and canceling waiting jobs 3 You can check which jobs are still waiting in the memory to be sent and cancel a job. (If there are no jobs, the LCD shows No Jobs Waiting.) a b Press Menu. c Press a or b to choose Remaining Jobs. Press OK. Any waiting jobs appear on the LCD. d Press a or b to scroll through the jobs and choose the job you want to cancel. Press OK. e Do one of the following: Press a or b to choose Fax. Press OK. To cancel, press 1 to choose Yes.
4 Receiving a fax (MFC models) Memory Receive (Black & White only) PC-Fax Receive (Windows®) If you turn on the PC-Fax Receive feature, your machine will store received faxes in the memory and send them to your PC. You can then use your PC to view and store these faxes. You can only use one Memory Receive operation at a time: Even if you have turned off your PC (at night or on the weekend, for example), your machine will receive and store your faxes in its memory.

Receiving a fax (MFC models) Changing Memory Receive operations 4 If received faxes are in your machine’s memory when you change the Memory Receive operations, the LCD will ask you one of the following questions: If all the received faxes have already been printed 4 • If you press 1 (Yes), faxes in the memory will be erased before the setting changes. • If you press 1 (Yes), faxes in the memory will be printed before the setting changes.
Chapter 4 Receiving a fax at the end of a conversation At the end of a conversation, you can ask the other party to fax you information before you both hang up. Make sure the ADF is empty. a Ask the other party to place the document in their machine and to press the Start or Send key. b When you hear the other machine's CNG tones (slowly repeating beeps), press Black Start or Color Start. c Press 2 to choose Receive to receive the fax. d Replace the handset of the external telephone.
5 Dialing and storing numbers (MFC models) Voice operations 5 You can use your external telephone to dial voice calls. Tone or Pulse (Canada only) 5 If you have a Pulse dialing service, but need to send tone signals (for example, for telephone banking), follow the instructions: a b 5 Caller ID 5 The Caller ID feature lets you use the Caller ID subscriber service offered by many local telephone companies.
Chapter 5 Setting up your area code (USA only) 5 When returning calls from the Caller ID history, your machine will dial “1” plus the area code for all calls. If your local dialing plan requires that “1” not be dialed for calls within your area code, enter your area code in this setting. With the area code setting, calls returned from the Caller ID history to numbers within your area code will be dialed using 10 digits (area code + seven-digit number).
Dialing and storing numbers (MFC models) Converting telephone wall outlets 5 There are three ways to convert to an RJ11 jack. The first two ways may require help from the telephone company. You can change the wall outlets from one RJ14 jack to two RJ11 jacks. Or, you can have an RJ11 wall outlet installed and slave or jump one of the telephone numbers to it. The third way is the easiest: Buy a triplex adapter. You can plug a triplex adapter into an RJ14 outlet.
Chapter 5 Additional dialing operations Outgoing Call history Caller ID history 5 5 The last 30 numbers you sent a fax to will be stored in the Outgoing Call history. You can choose one of these numbers to fax to, add to the Address Book, or delete from the history. a Press Redial/Pause. You can also choose Outgoing Call by pressing (FAX). b Press a or b to choose the number you want. Press OK.

You will dial ‘555-7000’. • (USA only) If you redial from the Caller ID history outside your area code, you must set up your area code in advance. (See Setting up your area code (USA only) on page 20.) To temporarily change a number, you can use the dial pad to manually substitute part of the number. Chapter 5 Additional ways to store numbers Storing Speed Dial numbers from the Outgoing Call history You can also store Speed Dial numbers from the Outgoing Call history. a Storing Speed Dial numbers from the Caller ID history 5 5 If you have the Caller ID subscriber service from your telephone company, you can also store Speed Dial numbers from incoming calls in the Caller ID history. (See Caller ID on page 19.) a Press Redial/Pause. You can also choose Outgoing Call by pressing (FAX). (FAX).
Dialing and storing numbers (MFC models) Setting up Groups for Broadcasting g To add numbers to the Group, press a or b to choose Alphabetical Order or Numerical Order and press OK. Press a or b to select a number and press OK. h Do one of the following: 5 A Group, which is stored in a Speed Dial location, allows you to send the same fax message to many fax numbers by pressing (Address Book), Search, OK, the two-digit location and Black Start.
Chapter 5 e f g Enter the new name (up to 16 characters) using the dial pad. (For help entering letters, see Basic User’s Guide: Entering Text.) Press OK. (For example, type NEW CLIENTS.) Press a or b to choose Complete. Press OK. Press a or b to choose the number you want to add. Press OK. g Repeat steps d to f to add another number in a group, and then press a or b to choose Complete. Press OK. h Press Stop/Exit. Press Stop/Exit.
6 Printing reports Fax reports (MFC models) e 6 Press Menu keys to set up the Transmission Verification Report and the Journal Period. Transmission Verification Report You can set the machine to print a journal at specific intervals (every 50 faxes, 6, 12 or 24 hours, 2 or 7 days). If you set the interval to Off, you can still print the report by following the steps in How to print a report on page 28. The factory setting is Every 50 Faxes.
Chapter 6 Reports The following reports are available: Transmission (MFC models) Prints a Transmission Verification Report for your last transmission. Address Book (MFC models) Prints a list of names and numbers stored in the Address Book memory, in alphabetical or numerical order. 6 How to print a report a b Press Menu. c Press a or b to choose the report you want to print. Press OK. d (Address Book Only) Press a or b to choose Alphabetical Order or Numerical Order. Press OK.
7 Making copies Copy options 7 7 Improving copy quality 7 You can change the copy settings for the next copy. You can choose the copy quality. The factory setting is Normal. These settings are temporary. The machine returns to its default settings one minute after copying. NOTE If you choose Fast 1 or Normal, you can only choose Plain Paper in Paper Type. Press COPY 1 and then press a or b to scroll through the copy settings. When the setting you want is highlighted, press OK.

Making copies Making N in 1 copies or a poster (Page Layout) f 7 The N in 1 copy feature can help you save paper by letting you copy two or four pages onto one printed page. You can also produce a poster. When you use the poster feature, your machine divides your document into sections, then enlarges the sections so you can assemble them into a poster. If you want to print a poster, use the scanner glass. NOTE • Sort, Enlarge/Reduce and Remove Background are not available with Page Layout.

Making copies 2 in 1 ID copy (Page Layout) You can copy both sides of your identification card onto one page, keeping the original card size. Make sure the paper size is set to Letter or A4. 7 f Press Black Start or Color Start. The machine starts scanning one side of the identification card. g After the machine has scanned one side, press 1 or +. Turn over the identification card and press OK to scan the other side.
Chapter 7 f Remove Background Color If you do not want to change additional settings, press Black Start or Color Start. If you placed the document in the ADF 1, the machine scans the document and starts printing. 1 Remove Background Color removes the background color of the document when copying. This may make the copy more readable and it will save some ink. MFC models only NOTE This function is for use only when making color copies.
Making copies 2-sided copying (MFC models) NOTE 7 You can reduce the amount of paper used for copies by copying on both sides of the paper. We recommend you load single-sided documents in the ADF for 2-sided copying. For 2-sided documents and books, use the scanner glass. • 2in1(ID), Poster and Fit to Page are not available with 2-sided Copy. • You can use only Letter, A4, A5 or Executive size plain paper. a b Load your document.
Chapter 7 l m d e Place the next page on the scanner glass. Press OK to scan the page. Repeat steps k and l until all the pages have been scanned. DO NOT touch the printed page until it is ejected the second time. The machine will print the first side and eject the paper, and then pull the paper in to print the second side. NOTE If you get a paper jam, choose Advanced and then press OK after step i, and then choose one of the jam prevention settings: 2-sided1 or 2-sided2.
A Routine maintenance Cleaning and checking the machine Cleaning the outside of the machine Clean the LCD screen as follows: IMPORTANT • Press and hold down to turn the machine off. The LCD will show Shutting Down for a few seconds before the power goes off. Clean the outside of the machine as follows: A A IMPORTANT • Use neutral detergents. Cleaning with volatile liquids, such as thinner or benzine, will damage the outside surface of the machine.
d Wipe the inside and outside of the paper tray with a dry, soft lint-free cloth to remove dust. e Close the output paper tray cover and put the paper tray firmly back in the machine. Cleaning the machine’s printer platen b Clean the machine’s printer platen (1) and the area around it, wiping off any scattered ink with a dry, soft lint-free cloth.
Routine maintenance c Lift the scanner cover to release the lock. Gently push the scanner cover support down and close the scanner cover using both hands. d Re-connect the power cord. Cleaning the paper feed rollers b (MFC models) Clean the front side of the Paper Feed Rollers (1) with a soft lint-free cloth moistened with water, using a side-to-side motion. After cleaning, wipe the rollers with a dry, soft lint-free cloth to remove all moisture.
c (MFC models) Lift the Jam Clear Flap (2), and then clean the back side of the Paper Feed Rollers (1) with a soft lint-free cloth moistened with water. After cleaning, wipe the rollers with a dry, soft lint-free cloth to remove all moisture. Cleaning the paper pick-up rollers a Unplug the machine from the AC power outlet. b Pull the paper tray completely out of the machine. NOTE 1 2 d Put the paper tray firmly back in the machine. e Re-connect the power cord.
Routine maintenance d Clean the Paper Pick-up Rollers (1) with a soft lint-free cloth moistened with water. Slowly turn the rollers so that the whole surface is cleaned. After cleaning, wipe the rollers with a dry, soft lint-free cloth to remove all moisture. Checking the ink volume A Although an ink volume icon appears on the LCD, you can use the Menu key to see a large graph showing the ink that is left in each cartridge. a b Press Menu. c Press a or b to choose Ink Volume. Press OK.
Packing and shipping the machine d A Lift the scanner cover (1) to release the lock. Gently push the scanner cover support down (2) and close the scanner cover (3) using both hands. When you transport the machine, use the packing materials that came with your machine. If you do not pack the machine correctly, any damage that may occur in transit may not be covered by your warranty. 1 3 The machine should be adequately insured with the carrier.
Routine maintenance i IMPORTANT • Make sure the plastic tab on the left side of the orange protective part (1) locks securely into place (2). Pack the machine and the printed materials in the original carton with the original packing material as shown in the illustration. Do not pack the used ink cartridges in the carton. NOTE 1 2 If you are returning your machine to Brother as part of the Exchange Service, pack only the machine.
B Glossary B This is a comprehensive list of features and terms that appear in Brother manuals. Availability of these features depends on the model you purchased. Address Book Your list of Speed Dial names and numbers that you have stored for easy dialing. ADF (automatic document feeder) The document can be placed in the ADF and scanned one page at a time automatically. Auto Reduction Reduces the size of incoming faxes.
Glossary Dual Access Your machine can scan outgoing faxes or scheduled jobs into the memory at the same time it is sending a fax from memory, receiving or printing an incoming fax. Easy Receive Enables your machine to respond to CNG tones if you interrupt a fax call by answering it. ECM (Error Correction Mode) Detects errors during fax transmission and resends the pages of the fax that had an error. Extension telephone A telephone using the same line as your fax but plugged into a separate wall jack.
Overseas Mode Makes temporary changes to the fax tones to accommodate noise and static on overseas telephone lines. Settings Tables At-a-glance instructions that show all the settings and options that are available for setting up your machine. Pause Allows you to place a 3.5 second delay in the dialing sequence while you are dialing using the dial pad or while you are storing Speed Dial numbers. Press Redial/Pause key on the control panel as many times as needed for longer pauses.
