Quick Sets
With the ability to route documents to a variety of destinations—such as email
recipients, network folders, or LAN fax addresses—users have more workflow options
than ever. Some users, however, quickly become overwhelmed with the number of
possibilities. They might choose the wrong network folder, forget an email address,
or pick the wrong file format for the scan, and the workflow breaks down before it
has even begun.
To address this issue, HP FutureSmart offers scanning profiles called Quick Sets.
Quick Sets help by automating all the steps in a complicated workflow. Users are
happier and more productive because they can find what they need right away,
without standing at the device control panel and searching for the appropriate
settings. Just save the most commonly used scan settings and file destinations. At the
touch of a button, Quick Sets launch document workflows using these saved
preferences and get it right every time.
Quick Set buttons can be placed directly on the Home screen of the device control
panel or on a separate control panel menu called Quick Sets. Quick Set buttons are
easily configured by using the Embedded Web Server (EWS) or HP Web Jetadmin
and can be applied to the following on the device:
Send to Email
Save to Network Folder
Save to USB
Copy
Fax applications
Use case example
The following is an example of a simple travel expense workflow.
The ACME sales department created a simple expense management process that
requires each sales representative to submit their travel expense documents to the
finance department by scanning them to a shared folder on the network called
Expense_submittal. The finance team monitors and manages this shared folder.
