Concepts
The system automatically archives all email messages you send or receive in your individual repository. In
addition to automatic archiving, you can use Document M anager to manually archive any files you want
and place them in your repository along with your messages. You can also use Document Manager to
archive email messages contained in Outlook PST files.
When you search for a document, your query i s checked a gainst an index of words, which is updated
each time a document is archived. For a file, the index always includes the external identifying
information of the file, such as the file name and last modification da te.
Altho
ugh you can use Document Manager to archive any type of file, the system only indexes the contents
of Ou
tlook em ail messages and indexed do cuments.
If Do
cument Manager does not recognize a file you queue for archiving as a document that can b e
inde
xed, Document Manager displays a warning message that the file contents might not be indexed.
Queue files for archiving
You interact with Document Manag er ma inly through the Active-Archive B in located on your Windows
desktop. The Active-Archive Bin is a desktop icon and folder that functions much like your Windows
Recycle Bin. Dragging files to your Recycle B in queues them for deletion whereas dragging files to
your Active-Archive Bin queues them for archiving.
You can examine the contents of your Active-Archive Bin at any time. The filesyouseetherearethoseyou
