How to Use This Guide Introduction This guide describes how to use the modules that comprise INDICIUS. It provides a brief introduction to each of the modules and gives the instructions necessary to operate these modules. The modules must be configured for a specific document set before use. This is done using the configuration tools and is not covered in this guide. This guide is for use by keyboard operators (keyers) verifying and correcting data and batch structure.
Related Documentation The following documentation is included with INDICIUS. Each PDF guide can be opened by clicking Start on the taskbar to display the menu, and selecting All Programs | INDICIUS | Documentation. The INDICIUS Help can be opened from the same menu, but can also be opened from the Help menu within the tools. INDICIUS Help The INDICIUS Help is written for those configuring a solution and for system administrators, and assumes those reading it have read the Getting Started Guides or attended an INDICIUS training course. This assumption is made so that the INDICIUS Help can provide the most accurate and detailed information across every aspect of the product.
Chapter 1 Overview Introduction This chapter introduces some of the concepts of data capture and INDICIUS. What is Data Capture and What is INDICIUS? Automatic data capture converts paper-based documents into electronic files. The resulting files contain clean, verified, classified and quickly accessible information which can be routed to key people, stored in database repositories or archived.
Chapter 1 What Does INDICIUS Add to Kofax Capture? INDICIUS is a set of modules that provide additional automatic recognition (classification, separation and extraction) as well as advanced keying (indexing and validation) functionality to Kofax Capture. Kofax Capture scans paper-based documents, creating a series of scanned image files. Alternatively, Kofax Capture Import Connector – Email can retrieve emails (including attachments) from a server.
Overview System Alterations One of the key features of INDICIUS is its flexibility. There are many different ways in which the modules can be configured, ensuring maximum accuracy and efficiency whichever documents are being processed. Each solution is unique: features and even modules documented in this guide may not be used in your solution; shortcut keys may have been changed or additional options implemented.

Overview A Typical Solution A typical solution will have multiple dedicated stations for each module. For example, there may be two full time scanners, two computers automatically running Recognition, four computers dedicated to running the Correction module, another four for Completion and a last computer automatically running export, as shown in the following illustration. Depending on the documents being processed and the requirements of the system some of the INDICIUS modules may not be used.

Chapter 2 Using Recognition Introduction This chapter describes how to use the Recognition module. Recognition may be used to: Automatically classify documents (that is, assign each document a type). Extract information from each document, searching intelligently for information where necessary. Automatically separate pages into documents. In normal operation, Recognition is designed to run unsupervised, so little user interaction is required.
Chapter 2 Starting Recognition X To start Recognition 1 Click Start on the taskbar to display the menu and select: All Programs | INDICIUS | Recognition. Recognition has the following icon: Figure 2-3. Recognition Icon Note It is also possible to run Recognition from Kofax Capture Batch Manager. Once the module has been successfully opened, the following window is displayed: Figure 2-4.
Using Recognition You can now select a specific batch for processing or instruct Recognition to process batches as they become available. In the latter case (“Wait for any Batch” mode) Recognition will automatically retrieve a new batch each time it completes a batch. Note Recognition may automatically start in “Wait for any Batch” mode if this was specified during installation configuration (see the Installation Guide (.pdf) for more information).
Chapter 2 Window Layout The window (having processed a batch with six documents) is shown in Figure 2-5 below. Figure 2-5.
Using Recognition Status Area The status area displays information about the current batch. It shows the number of documents that have been processed, the number of documents that have failed to process correctly and the batch name. It should be read in conjunction with the information given in the current batch area (described next). Current Batch Area The current batch area shows the name of the current batch and the number of documents it contains.
Chapter 2 Viewing Processing The second of the two drop-down boxes controls whether the processing steps carried out by Recognition are displayed in the processing display window (see Figure 2-6). The level of user interaction required to progress processing is also controlled by this option. The option is set to “No display” by default, and should be left on this setting for normal operation. Any display operation will slow down processing.
Using Recognition Figure 2-6. Recognition Using Step Field Processing Figure 2-6 shows Recognition under test. Only errors will be displayed in the message window. Processing will stop at the end of each field. In this case, the result for the surname field is being displayed. The color of the resulting character that is placed on the image is important.
Chapter 2 Table 2-6. Recognition Colors Color Meaning Completion is being used, it will be seen in the first of these modules. If these are not being used the character should be corrected after Recognition. 14 Pink A pink character is the second best result and is displayed for information. Red A red character is rejected for being larger than the maximum defined character size. As for a yellow character it would be seen in Correction or a later module.
Using Recognition Menu Bar There are two menus, Session and Help. Session Menu Table 2-7. Session Menu Menu Item Description Wait for any Batch Sets Recognition to process any batch as soon as it becomes available. Select Batch Allows you to select a particular batch for immediate processing. Stop Waiting Turns off Wait for any Batch mode, if this option has previously been selected. Exit Closes the module. Chapter 3 Using Document Review Introduction Document Review is used to ensure document types are correctly assigned, and to validate the structure of batches and documents. Within Document Review, there are two views (window layouts): Document Classification is used only to assign or confirm document types Review (containing Sort by Type view) is used to view and fix problems with a batch, to browse the batch and to make changes to batch structure.
Chapter 3 Interface options such as thumbnail size Page and document types Validation rules that define each problem or warning Each configuration is specific to the document set being processed. The flexibility in the configuration of Document Review means that some of the following sections may not be appropriate to your solution; please check with your administrator as to which areas of functionality are in use in your solution.
Using Document Review Starting Document Review X To start Document Review in dedicated mode 1 Click Start on the taskbar to display the menu and select: All Programs | INDICIUS | Document Review. In this case, Document Review selects available batches and loads the documents and pages for classification and/or review.
Using Document Review Views Document Review is used in one (or both) of the following views: Document Classification, a fast view for assigning or confirming document types. Review, the main view where all outstanding problems are displayed and may be fixed. While processing a single batch, one or both of these views may be used, depending on the configuration of the solution. If the Document Classification view is enabled, it will always be run prior to Review.
Chapter 3 Occasional Users Occasional users will not be familiar with the function shortcut keys so it is recommended that the mouse is used. The function toolbar provides quick access to the common functions; others are found in the menus. X To display the toolbar 1 Select Tools | Options. 2 Select the “Display the functions toolbar” option. 3 Click OK. Document Classification The Document Classification view provides a very fast method for assigning or confirming document types.

The following features ensure efficient keying: Only documents with document classification problems are displayed.
Chapter 3 The status bar indicates the current problem and provides information on the batch and number of nodes (pages, documents, envelopes and batches) with problems remaining. Thumbnail Display Within the thumbnail display area, all pages in a document are displayed. Images are displayed at a reduced size, as they exist on disk (including their orientation before INDICIUS). By comparing these with the Page Display panel, you can see how INDICIUS has rotated the images within the modules.
Using Document Review Status Messages The current status of a document is displayed above the document type list. The document type will normally be in a problem state (see Displaying Problems). However, in some circumstances it may be useful to browse to documents without problems. The status message will display in one of two states when there is no problem to fix: Figure 3-12. Undefined Document Type (Red) Fixing Problems Confirming Document Types X To confirm the document type, press Enter. Entering Document Types The entry of document types will depend on whether all the types have been predefined or not.
Using Document Review document type to be assigned using a single keystroke. The Quick Select document type must be pre-defined when the solution is configured. If this option is not enabled (pressing the shortcut key does nothing and the menu item is disabled) then it has not been configured for your solution.
Chapter 3 Navigating the Batch Once a problem has been fixed, the next problem requiring attention in the batch will automatically be displayed. It is also possible to navigate through the documents and change the page image displayed in the image window. Batch navigation should be done using the keyboard rather than the mouse, as this ensures maximum efficiency. All shortcut keys are displayed in the menus. The default shortcuts for navigation are: Table 3-9.

The following features ensure efficient keying: Tree view shows clear structure of the batch. Thumbnails of pages are included in the tree view. Problem messages are displayed alongside the problem.
Chapter 3 The first page of a document is displayed in the main image view; others can be displayed using simple navigation. A problem window can display all problems above the current level, for example, if a page is selected any problems on the document or envelope will be displayed. The status bar indicates the current problem and provides information on the batch and number of nodes (pages, documents, envelopes and batches) with problems and warnings remaining.
Using Document Review Additionally, all tags will be stripped from HTML files before being displayed, so all formatting will be lost. If the page is of an unsupported file type, the page display area will be blank. Sort by Type Within Review an additional display is also possible, showing all documents sorted by type. This view is available for the following purposes: Comparing a document to others of the same type. Rapid validation of documents that have been assigned to each type.
Chapter 3 Displaying Problems All problems that arise from validations specified in the configuration will be displayed in Review. However, only certain problems may need fixing; problems can be classified as warnings in the configuration. Warnings require a visual check but do not need to be fixed in order to complete the batch. Warnings are displayed with an orange background and with ‘(warning)’ displayed in the message. All problems are displayed in the tree view alongside the document or page.
Using Document Review Note Unconfident document/page types are not classified as problems unless a validation rule specifies that they are not allowed. Unconfident document/page types that are not problems are displayed preceded by a question mark (?). There is no change to the background and the problem message will not display. Validation Failure The background color is changed and a problem message displays the validation failure: Figure 3-23.
Chapter 3 X To unreject a document or page, while on the page or document to unreject, press Ctrl+U. The rejection status will be removed; any problems that were overridden by the rejection will be displayed. Moving Documents or Pages. Pages and documents can be moved around the batch using the Alt+Arrow keys or the mouse. When dragging pages or documents using the mouse, a bar displays indicating where the page or document will be moved to.

Using Document Review X To reject a document or page 3 While on the page or document to reject, press Ctrl+R. 4 Enter the reason for rejecting the page or document in the dialog or select a reason from the pre-defined list. The problem will be removed and the document or page will be marked with the rejection symbol. If a document is rejected, all of its pages are automatically rejected and any problems on them will be removed.
Chapter 3 Reviewing the Batch Once the last problem in a batch has been fixed, a prompt will display to close the batch. It is possible to stay in the batch by selecting No. The batch can then be browsed before being manually closed by selecting Session | Close Batch. Reviewing the batch may be quicker when all documents are displayed sorted by type. To display this view, press Escape. The currently selected page/document will remain selected in the new view.
Using Document Review Note If changes are discarded, when the batch is re-opened it will be started again as if it was being seen for the first time. Menu Bar The top level menu options are Session, Document Classification, Review, Image, Tools and Help. Note The following sections show the default function keys; these may be modified when the solution is configured. Note Check the menu items for the function keys that apply in your solution. Chapter 4 Using Correction Introduction This chapter describes how to use the Correction module. Correction takes data from Recognition and displays to the user only data that was rejected or that fails validation. Correction works on a batch at a time and displays the rejections or validation failures for the batch in field order, i.e. all errors for the first field, all errors for the second and so on.

Chapter 4 Processing Efficiency The Correction interface is designed for maximum speed and efficiency when processing batches. The mouse is not needed at all – vastly increasing processing speed. When working on the current field, it is possible to see the previous data entered without making any keystrokes. If the data was entered incorrectly, a single keystroke can be used to move back to the field. For fast keyers, the next field is displayed while the current field is still being entered.
Using Correction Window Layout The default Correction window layout (with a batch loaded) is shown below: Note It is possible, when configuring Correction, to hide either the Last field or the Next field or both. Figure 4-28.
Chapter 4 Correcting Fields Single Character Correction A single character correction occurs when Recognition is uncertain about whether it has recognized a character correctly. It is indicated by a yellow box containing an image of the uncertain character appearing over its place in the data field. To correct the data, simply type the correct character over the yellow image. Once all characters have been corrected the field is validated.
Using Correction X To make a whole field correction 1 Type the data for the whole field. 2 Press Enter. Validation Failures The data in the field is validated when the field is left. If the field passes validation the next correction will automatically be loaded. If validation fails, the data in the field is selected and highlighted in red. The data must be re-keyed until it passes the validation. If the data does not pass validation, it may be ‘forced through’ Correction.

Chapter 5 Using Completion Introduction The Completion module is used to fill in any gaps left in the data captured during Recognition and Correction. It also performs document level validations, checking that data is compatible across several fields within the document. For example, if someone has completed a check box to say they are paying by Visa card, the card number field must also be complete. Note Some of the features documented in this section may not be applicable in your solution.

Chapter 5 The document has not been identified automatically and you need to select a form type. In addition, the batch may have been configured so that certain other documents are shown to you. These documents may not require you to do anything other than to check the data captured is accurate. Whenever a document is displayed to you, the reason for display is shown in the status bar. You are able to move forwards and backwards through the batch to view other documents.
Using Completion Window Layout The Completion main screen is shown below, though this may be tailored to each document type being processed. Figure 5-32. If the document has more than one page, the image displayed corresponds to the page on which the current field lies.
Chapter 5 specific location, this will stop it being automatically updated when you navigate around the fields. Data Capture Area Contains the controls in which previously captured data is displayed and new data can be keyed. This is tailored to the document type being processed and can be split into one or more data capture tabs. As you move from the last field on a tab, the next tab will automatically be displayed. You can also use the shortcut keys to move between these tabs.
Using Completion Document index The document index indicates your current position in the batch and the total number of documents in the batch. Image index The image index indicates which image is currently being displayed out of the images available for this document. Form type This is the form type assigned to the current document. Information The information panel is used to display information to you about the current document or field.
Chapter 5 Field Types Text Fields Text fields are the most common field type, and are used to capture any form of text data. Text fields can contain either a single line of text or multiple lines. Figure 5-34. Single Line Text Field Figure 5-35. Multiple Line Text Field To enter data in a text field, simply type into it. To create new lines in a multiple line field you may need to press CTRL+Enter but this will depend on your configuration (you may also be able to press just Enter to create a new line).
Using Completion List Fields List fields are used to capture data which can take one of a number of values. There are two ways of selecting values from list fields. The quickest way is to type the value into the field. You only need to type enough characters to uniquely identify a single value. For example, to select ‘JANUARY’ rather than ‘JUNE’, you only need to type ‘JAN’. The rest of the value is selected automatically. Figure 5-37.

Using Completion To edit cells in list columns, move to the cell and press Enter to display the list of available values. Use the up and down arrows to select a value from the list. To complete an edit press Enter, or use the arrow keys to move to a new cell. At any point during a cell edit, you can cancel the edit using the Escape key. To insert new rows or delete the current row, use the functions listed below: Table 5-22.

X To deselect a selected mark, press the corresponding key. X To select an unselected mark, the corresponding key. X To select all rejected marks in a field, release the field by pressing Enter. The following cases describe what you will see in Completion in different scenarios: Mark Grid is captured in Recognition and all boxes are found.
Using Completion Mark Grid is processed in Recognition but the boxes were not successfully located. The mark grid annotations are evenly spaced within the Default Image Focus Area for the field. It is assumed that the Default Image Focus Area is set tight to the boxes in the grid. A red question mark is displayed next to the field to indicate that the annotations are in “best guess” positions. Mark Grid is not captured in Recognition (image did not register etc.).

Page up Go back one step in the search Single line Searching There are two single line searching methods. Both allow you to search on any address element or combination of address elements. Single line searching is useful if your address information contains one or more spelling mistakes.
Using Completion Note If you use too many wildcards in a search, you run the risk of considerably extended searching time, and possibly getting no returned matches. Premise Information Some countries do not include premise information in which case this should not be used in the search. However, a mechanism has been created to enable this data to be entered quickly and easily.
Chapter 5 UK UK addresses can be identified using the postcode followed by the house number. Where the full postcode is known, the address can be captured by entering the postcode and the house number in the following format: Postcode + House Number, or Postcode + House Name Table 5-24.

Chapter 5 matches in a list. The more characters you type, the smaller the list of matches will be. There is no need to use capital letters when you type. Nor do you need to include spaces, as typedown searching ignores them. For example, if you were looking for the American address: 1933 Ridge Point Drive in Cleveland, TN, you would start by typing CLEVELAND as your search string. Figure 5-42.
Using Completion By the time you have typed “RIDGEP” (you do not need to include spaces or punctuation as they are ignored) the street you want is fourth in the list. Use the down arrow to select it, then press Enter. Once you have selected “Ridge Point Drive,” the final stage is to type the property number: 1933. Figure 5-44. Chapter 5 Typedown Search Types The above search is an example of street typedown. You can also typedown on organizations or PO boxes. This means that once you have selected the place or postal code that you want, whatever you type in next will only relate to street names, organization names, or PO Box numbers. This narrows the search even before you have typed anything in. The typedown toolbar indicates the current typedown search type. Street Typedown Street typedown usually involves three stages.
Using Completion Note The prompt at the top of the drop-down box indicates the part of the address expected for the current stage of the search. This varies from country to country. The partial-address section at the bottom of the drop-down box displays the parts of the address entered so far. Some countries do not include premise information. This can be entered anyway but will not be validated. Field Statuses The way that fields are displayed on the screen indicates the current status of the field.

This means you can enter any data in the field, even data which does not pass the field validation rules. A mandatory field which is marked as an exception does not need data entering into it. Previous Page [PgUp] This function moves focus to the last field on the previous data capture tab. If there is only one data capture tab, or the first tab is currently displayed, then this function behaves as the Previous Document function.

Using Completion Field Validations Some or all of the fields on a document may be configured with validation rules. For example, a particular field may be defined as being a date. If you enter an invalid value in the field, the field background becomes red and a description of the validation is displayed on the status bar: Figure 5-56. Invalid Field Value Figure 5-57.

Text Field Marked as an Exception When a field has been marked as an exception, the field background turns green. You can unmark the field by selecting the Field Exception function again. It is possible to have more than one type of exception for each field.
Using Completion Other Useful Field Functions Clear Field [CTRL+M] This function clears the value in the current field. Clear All Fields [CTRL+C] This function clears all the fields on the document and moves to the first field. Jump To Field [CTRL+D] This function enables you to jump to a particular field on the document. Simply enter the field number in the window displayed and press Enter. Figure 5-61.
Chapter 5 Navigating Around the Document Image Normally the area of the image corresponding to the current field is displayed automatically when you enter the field. However, sometimes it may be necessary to view a different part of the image, or a different image in the same document, in order to locate the data you need. The functions listed in the sections below enable you to view the section of the image you require.
Using Completion Scroll Functions The following functions can be used to scroll (pan) around the image. You can also scroll the image by clicking or dragging the image scroll bars.
Chapter 5 X To display the image for the next page in the document, select Next Image (CTRL+N). If the last image is currently displayed, the first image is now displayed. X To display the image for the previous page in the document, select Previous Image (CTRL+P). If the first image is currently displayed, the last image is now displayed. X To swap the front and back images of a document with only two pages, select Invert Image (CTRL+F5).
Using Completion Changing Document Type X To change the document type assigned to the current document, select Change Document Type (F9). The document type defines the fields presented for data capture, the position of fields on the image and other form-related characteristics. A list of available document types is displayed on the screen. Use the arrow keys or the shortcut codes before each entry to select a new form type. Figure 5-63.
Chapter 5 Searching for Data on other Documents The following functions enable you to search through documents already processed for a specific document or value. X To search for a particular document in the batch by viewing the data captured for each document, select Search (CTRL+F). The Search Batch dialog is displayed with the current document highlighted. The current field is listed first after the document number.
Using Completion X To search quickly for a particular value occurring in the current field on a previous document, select Quick Search (CTRL+Q). Depending on the batch configuration, a dialog is displayed containing the current value of the field. Figure 5-66. Completion Quick Search Window X To search on this value, press Enter. X To search for a different value, type the value in the box and then press Enter. X To repeat the last Quick Search, select Repeat Quick Search (CTRL+A).
Chapter 5 The rescan dialog displays a list of pre-configured rescan reasons. You can select one or more of these to be displayed to the rescan or Quality Control operator as an explanation. You can also enter any other message in the other reason box. X To mark the current document and move to the next document, select the rescan and continue keying option. X To mark the current document and all of the remaining documents with the same reasons, select the rescan and abort option.
Using Completion X To close the batch and put the module into idle mode, select Abort & Stop Waiting. X To close the batch and exit from the module, select Exit (CTRL+X) Pausing a Batch X To pause Completion while working on a batch, select Pause. When Completion is paused, user statistics (time taken for the batch or document) are not incremented. X To restart work, select Continue. Help Menu The Help menu contains the following commands. Chapter 6 Using Verification Introduction The Verification module functions exactly as the Completion module but acts in a key-from-image mode. It performs verification between the data keyed in the current session and data previously captured using Recognition, Correction and Completion. This verification can be performed on all documents and fields, or just a subset, to ensure 100% accuracy where other validations are not available.
Chapter 6 Starting Verification X To start Verification 1 Click Start on the taskbar to display the menu and select: All Programs | INDICIUS | Verification. Chapter 6 Verifying Data When data is entered which does not match the data captured using Recognition, Correction and Completion, a data mismatch occurs. The following events occur: An audible beep is produced. The field background becomes dark green (depending on the configuration of the batch). The original and first Verification key values are displayed above the field for reference (depending on the configuration of the batch). At this point, the field data must be re-keyed.

Chapter 7 Using Scripted Export Introduction This chapter describes how to use the Scripted Export module. This module is used to automatically reformat data and collate statistics prior to Kofax Capture Release. In normal operation, the module is designed to run unsupervised, so little user interaction is required. It can however be useful to have extra control over the module.

It shows the number of documents that have been processed, the number of documents that have failed to process correctly and the batch name. It should be read in conjunction with the information given in the current batch area (described next).
Using Scripted Export Current Batch Area The current batch area shows the name of the current batch and the number of documents it contains.
