WHAT IS IMAGEAXS™? 1 ACQUIRING Acquiring is the act of making an ImageAXS data record for a source file. To use ImageAXS to manage the files in a particular folder, for example, you would acquire all of the files in that folder (see Chapter 5, “Creating and Adding to a Collection”). COLLECTIONS Collections are the documents created by ImageAXS. A collection contains a data record for each source file that you acquire (as well as blank records, if you create any).
WHAT IS IMAGEAXS™? 1 THUMBNAILS A thumbnail is a smaller version (in both actual size and disk space required) of an image. When you acquire an image, movie, or 3D file, ImageAXS includes a thumbnail version of the file in the data record. KEYWORDS Keywords are terms you choose that describe one or more source files in a collection.

GETTING STARTED 2 STEP 5 NOTE Read the license agreement, then click Agree. The Easy Install dialog box appears. If you click Disagree, the installation process will be cancelled. The Easy Install option installs the ImageAXS application, a sample collection, various plug-ins and system extensions, folders containing AppleScripts and Web page templates, and a ReadMe document into a folder that you create later during the installation. In addition, the Easy Install option installs QuickTime 3.
GETTING STARTED 2 • NOTE Contextual Menu Module If your Macintosh has a PowerPC processor, this option installs a system extension that includes an “Acquire in ImageAXS” command in the contextual menus that appear when you press and hold CTRL on your keyboard, then click documents or folders in the Finder (see Chapter 6, “Creating and Adding to a Collection”). STEP 7 Select the custom installation options you want, then click Install.
GETTING STARTED STARTING IMAGEAXS ImageAXS™ application icon 2 • Drag into Photoshop Plug-ins ƒ If you have Adobe Photoshop installed on your Macintosh (or other image-editing applications that can use Photoshop plug-ins), drag the IAXAcquire/Export file contained here into the Plug-ins folder inside the Photoshop folder.
GETTING STARTED ImageAXS™ “.db” file icon 2 STEP 2 In the dialog box, locate the folder where you installed ImageAXS. STEP 3 Double-click the icon labeled Sample Collection.db. You can recognize collections by the ImageAXS file icon and/or the ".db" extension at the end of the file name. You can also open the sample collection (or any other ImageAXS collection) in the Finder by dragging and dropping the collection icon on the ImageAXS application icon.

VIEWING COLLECTIONS 3 If the collection you want is not on the list, follow the steps below. To open a collection: ImageAXS “.db” file icon NOTE STEP 1 Choose Open Collection from the File menu (z-O). A dialog box prompts you to select a collection to open. STEP 2 In the dialog box, locate and select a collection. You can recognize collections by the ImageAXS file icon and/or the ".db" extension at the end of the file name. STEP 3 Double-click the collection name, or highlight it and click Open.
VIEWING COLLECTIONS 3 COLLECTION INFO In the upper right corner of any ImageAXS collection window, click the leftmost button to open the Collection Info dialog box. NOTE Collection Info If information has been entered in the Collection Info dialog box, the Collection Info button will display a solid “i” symbol. An empty or outlined “i” indicates that no information has been entered for the collection.
VIEWING COLLECTIONS 3 USING THE BUTTON PANEL The button panel along the left side of ImageAXS collection windows gives you quick access to the basic ways to view and organize your collections. To show or hide the button panel, do either of the following: Show/Hide Buttons • Select Show Buttons (or Hide Buttons, if the button panel is shown) from the View menu • Click the Show/Hide Buttons icon on the upper left corner of most ImageAXS windows.
VIEWING COLLECTIONS 3 FILE TYPE ICONS Image file icons Movie file icons Sound file icons 3D file icons Document file icons The file type icon for a data record indicates the type of the source file and whether the source file is online. It appears to the left of the thumbnail caption for each record in the Thumbnails View, and at the left end of the data row for each record in the Text List View. The terms online and offline refer to whether ImageAXS is able to find the source file for a record.
VIEWING COLLECTIONS 3 Appearance panel, ImageAXS Preferences dialog box To change the background color of windows: STEP 1 Select Preferences from the Edit menu (z-Shift-P). The ImageAXS Preferences dialog box appears. STEP 2 Click the Appearance tab on the left side of the ImageAXS Preferences dialog box. If the tab is pulled out past the others and the name is in boldface type, it is already selected. STEP 3 In the box labeled Window Background, click either Dark Gray or Light Gray.
VIEWING COLLECTIONS VIEWING THUMBNAILS Thumbnails View button 3 The first window you see when you open any collection or portfolio is the Thumbnails View for that collection or portfolio. To display the Thumbnails View at any time, select Thumbnails from the View menu, or click the Thumbnails View button in the button panel. (If the view window is already open, ImageAXS brings it to the front.
VIEWING COLLECTIONS 3 To show more (or fewer) thumbnails, resize the Thumbnails View by dragging the lower right corner of the window, or change the display size of the thumbnail images (see “Changing Thumbnails View Options” on page 3-9). Use the scrollbar to move back and forth among thumbnail images, or do either of the following: • Select First Record, Previous Record, Next Record, or Last Record from the Record menu. • Use any of the arrow keys (←, →, ↓, or ↑) on your keyboard.
VIEWING COLLECTIONS 3 File Information pop-up window NOTE Click the thumbnail caption for a record to display the File Information for the source file in a pop-up window. (Click the window to close it.) Triple-click the thumbnail caption to open the Info Sheet View for a data record.
VIEWING COLLECTIONS 3 Thumbnails panel, ImageAXS Preferences dialog box With the Thumbnails panel of the ImageAXS Preferences dialog box open, you can change thumbnail options as described below. To change the default size of thumbnail images created when a source file is acquired or updated: STEP 1 In the box labeled Acquire Size, click the size you want for your thumbnails. The options are Small (64 x 64 pixels), Medium (96 x 96 pixels), or Large (128 x 128 pixels).
VIEWING COLLECTIONS STEP 2 NOTE 3 Click OK if you are finished making changes in the Preferences dialog box. The thumbnail images will be displayed at the size you selected. If you have a Power Macintosh, you can also change the display size by holding down the CTRL key as you click a thumbnail image in the Thumbnails View, then selecting an option (Small Thumbnails, Medium Thumbnails, or Large Thumbnails) from the contextual menu that appears.
VIEWING COLLECTIONS 3 To change the orientation of thumbnail images: STEP 1 Select the thumbnail(s) you want to rotate. STEP 2 Select 0°, 90°, 180°, or 270° from the Orientation submenu of the Record menu. The thumbnail(s) are rotated to the right by the number of degrees that you select. CHANGING THUMBNAIL CAPTIONS Use the Field Labels dialog box to choose the captions for thumbnail images in the Thumbnails View.
VIEWING COLLECTIONS NOTE 3 • Buttons for quick access to ImageAXS commands (see “Viewing a Collection” on page 3-2) • File type icons (at the left end of each data record) that you can click for information about the location of the source file (see “File Type Icons” on page 3-5) Double-click the row for a data record to open the Info Sheet View for that record. (In the Info Sheet View, you can modify the record by entering field data and attaching keywords.
VIEWING COLLECTIONS NOTE CHANGING TEXT LIST VIEW OPTIONS 3 Scroll to the far right end of the data fields (using the horizontal scrollbar at the bottom of the Text List View window) to see information about the source file for each data record, such as the file size and when the file was created. REORDERING DATA RECORDS The top of each column in the Text List View lists the name of a data field in the collection or portfolio.
VIEWING COLLECTIONS 3 CHANGING FIELD LABELS Use the Field Labels dialog box to change the names of fields. (These changes will be reflected in both the Text List View and the Info Sheet View.) To change the names of fields: STEP 1 Select Field Labels from the Edit menu. The Field Labels dialog box appears. STEP 2 Type your desired changes in any of the text entry boxes under the heading Field Label. STEP 3 When you are finished making changes, click OK to close the Field Labels dialog box.

To change the format of Date/Time fields: STEP 1 In the box labeled Date and Time, click the format you want to use. If you choose the System Format option, Date/Time fields in data records will use the “Long Date” format in your system’s Date & Time control panel to display dates (for example, “January 31, 1999”).

VIEWING RECORDS AND SOURCE FILES STEP 2 NOTE 4 Hold down the Shift key and select the last record in the range. Each record in the selected range will be outlined in red. To select additional records after selecting a range of consecutive records, hold down the Command (z) key as you click each record. You can also select a range of consecutive records simply by clicking the first record and dragging over the rest of the records you want to select.

For information on selecting more than one record, see “Selecting Records” on page 4-1. STEP 2 Select Info Sheet (z-I) from the View menu, or click the Info Sheet View button in the button panel.
VIEWING RECORDS AND SOURCE FILES 4 The upper right corner of the Info Sheet View window includes the Balloon Help and ImageAXS Help buttons (see “Viewing a Collection” on page 3-2), along with buttons to save changes to the current data record or revert to the previously saved version (see “Saving Changes to a Record” on page 6-2). The left side of the Info Sheet View window contains the button panel (see “Using the Button Panel” on page 3-4).
VIEWING RECORDS AND SOURCE FILES • 4 Keywords The keywords, if any, that you have attached to the record from the Keyword List for the collection are displayed in the lower right corner. To add keywords, drag them from the Keyword List (see “Adding Keywords to Data Records” on page 7-6). • Long Text Description Field Use this field to enter general information (up to 100,000 characters) about the source file. You can type this information, or paste text that you have copied from another program.
VIEWING RECORDS AND SOURCE FILES 4 To open the Source File View for a record, do any of the following: Source File View button NOTE • Double-click the thumbnail for the file in the Thumbnails View or Info Sheet View. • Select the thumbnail or data record for the file, then select Source File View (z-1) from the View menu. • Select the thumbnail or data record for the file, then click the Source File View button in the button panel.
VIEWING RECORDS AND SOURCE FILES VIEWING IMAGES 4 The Source File View window for image files consists almost entirely of the image itself, displayed at actual size if possible. If the image cannot fit in the window at its actual size, ImageAXS displays it as close to its actual size as possible while still displaying the entire image in the window.

To make permanent changes to a source file, use an image-editing program such as Adobe Photoshop, then update the ImageAXS record to reflect your changes (see “Updating Records” on page 10-3). ROTATING AN IMAGE 0° 90° 180° 270° To rotate an image, click one of the page icons on the toolbar beneath the image. (The icon that is darkened indicates the current rotation of the image.
VIEWING RECORDS AND SOURCE FILES 4 . Source File View of zoomed-in image NOTE The Zoom In tool is selected by default when the Source File View is opened for an image. To select one of the zoom tools at any time, do either of the following: Zoom In tool Zoom Out tool NOTE • Choose Zoom In Tool or Zoom Out Tool from the Image menu. • Click the Zoom In or Zoom Out button (indicated by the magnifying-glass icons) in the toolbar beneath the image.
VIEWING RECORDS AND SOURCE FILES 4 COPYING PART OF AN IMAGE TO THE CLIPBOARD To copy part of an image to the Clipboard, follow these steps: STEP 1 Select Crop Tool from the Image menu, or click the Crop tool icon on the toolbar beneath the image. The Crop tool icon is indicated by a dotted rectangle. STEP 2 Use the crosshairs pointer to draw a rectangle around the area of the image you want to copy. STEP 3 Select Copy from the Edit menu.
VIEWING RECORDS AND SOURCE FILES 4 Sound control Play/Pause Slider Back one frame Forward one frame Source File View movie/animation/sound toolbar The toolbar at the bottom of each movie/animation/sound player window contains the basic controls depicted above. VIEWING 3D FILES Each 3D image file you open in the Source File View is displayed in a separate window with a 3D display toolbar at the bottom of each window.

STEP 2 Click the Source Files tab on the left side of the ImageAXS Preferences dialog box. The Source Files panel of the ImageAXS Preferences dialog box appears. (If the Source Files tab is pulled out past the others and the name is in boldface type, it is already selected.
VIEWING RECORDS AND SOURCE FILES 4 CHANGING MOVIE/ANIMATION OPTIONS When a movie or animation file is displayed in the Source File View, select Loop Movie from the View menu to show the movie or animation in a continuous loop, beginning again when it reaches the end. You can also use the Source File View display to change the thumbnail image in the data record for a movie or animation file.
VIEWING RECORDS AND SOURCE FILES 4 PhotoCD panel, ImageAXS Preferences dialog box STEP 3 In the box labeled Resolution, choose a display size for your PhotoCD images. Size dimensions (in pixels) for each resolution option are displayed to the right. STEP 4 In the box labeled Color Mode, choose whether your PhotoCD images will be displayed in grayscale or RGB color.

CREATING AND ADDING TO A COLLECTION 5 STEP 2 Enter a name for the collection in the New Collection name field. The name field is highlighted when the dialog box opens. STEP 3 Click Save. A Thumbnails View window for the collection appears. New collection window (Thumbnails View) NOTE OVERVIEW: ADDING FILES TO A COLLECTION For more information about what you can do in the Thumbnails View, see “Viewing Thumbnails” on page 3-7.) The process of adding files to a collection is called acquiring.
CREATING AND ADDING TO A COLLECTION 5 You can acquire files individually, as part of an entire folder (or disk), or directly from a removable storage drive or digital media device (a scanner, a digital camera, or a video or audio source). In addition, you can use software plug-ins and extensions installed with ImageAXS to acquire files directly from the Finder, or while using Adobe Photoshop (or a program that uses Photoshop plugins).
CREATING AND ADDING TO A COLLECTION STEP 3 5 Click Open. A data record for the file is added at the end of the collection (as a thumbnail image in the Thumbnails View, and a row of data in the Text List View.
CREATING AND ADDING TO A COLLECTION ACQUIRING FROM REMOVABLE MEDIA 5 • Drag the Finder icon(s) into an open ImageAXS collection window. • Drag the Finder icon(s) onto the ImageAXS application icon. (Doing this launches ImageAXS and makes a data record for each file in the most recently opened collection.) • If you have a Power Macintosh, press and hold the CTRL key as you click any selected Finder icon, then select Acquire in ImageAXS from the contextual menu that appears.
CREATING AND ADDING TO A COLLECTION 5 STEP 2 In the Acquire pop-up menu of the Set Up Input Device dialog box, select Removable Media. The Set Up Input Device dialog box contains options for naming and saving files transferred from removable media. You must select a folder for saving files before ImageAXS will let you acquire new files from a removable disk or other media, although you can choose in a later step to acquire the files without moving or copying them to the selected folder (see Step 8).
CREATING AND ADDING TO A COLLECTION 5 Acquire From Removable Media dialog box STEP 9 Follow the instructions in the Acquire from Removable Media dialog box to set preferences. Use the radio button options to choose whether to copy files to the folder you selected in Step 4 and/or delete them from the disk or other removable media.
CREATING AND ADDING TO A COLLECTION • STEP 10 5 Speak Remaining Disk Space Uses the Macintosh speech system extension to state the available space remaining in the folder you selected in Step 4 after all files on a disk or other media have been moved or copied (if you selected either of these options) and acquired by ImageAXS. Insert your disk or other removable media. A data record for each file on your disk or other removable media appears in the collection.
CREATING AND ADDING TO A COLLECTION 5 STEP 2 In the Acquire pop-up menu of the Set Up Input Device dialog box, select Photoshop Plug-in or TWAIN Plug-in (depending on the type of software plug-in your digital camera or scanner uses). STEP 3 In the section labeled Plug-in, click Set. A file dialog box appears. STEP 4 Locate the plug-in for your scanner or digital camera and click Open. The pathname to the selected plug-in module appears to the left of the Set button.
CREATING AND ADDING TO A COLLECTION STEP 11 5 Set the preferences you want for your imaging device, and begin scanning or capturing images. A data record for each image you scan or capture appears in the ImageAXS collection. To acquire files from your imaging device again using the same setup options, begin with Step 10 above. ACQUIRING FROM A VIDEO SOURCE ImageAXS can make data records for video frames or movies as you capture them using a QuickTime capture interface.

If the Source panel of the dialog box is not displayed, click the pop-up menu in the upper left corner of the dialog box and select Source from the list that appears.
CREATING AND ADDING TO A COLLECTION 5 Compression panel, QuickTime Video settings dialog box The options in the Compression panel are as follows: • Compressor Click the pop-up menu to display a list of choices for compressing the video capture. • Depth Click the pop-up menu to display a list of choices. (In most cases, the only choice is Color.) • Quality Click and drag the slider to the desired quality setting.
CREATING AND ADDING TO A COLLECTION STEP 6 5 Adjust the Image settings for your video device. If the Image panel of the dialog box is not displayed, click the pop-up menu in the upper left corner of the dialog box and select Image from the list that appears. Image panel, QuickTime Video settings dialog box The options in the Image panel consist of seven sliders — Hue, Saturation, Brightness, Contrast, Sharpness, Black Level, and White Level — that you can set anywhere between 0 and 100.
CREATING AND ADDING TO A COLLECTION STEP 11 5 In the box labeled Names for Acquired Files, decide how to name your new files. Names consist of a stem (a prefix or a suffix) attached to a number — a stem of TestPics and a starting number of 1 will produce files named TestPics001 (or 001TestPics), TestPics002 (or 002TestPics), and so on. To define file names, do the following: NOTE • Click 001 or 001 to determine whether the stem appears after or before the number.
CREATING AND ADDING TO A COLLECTION STEP 14 5 Begin capturing movies or frames as they appear in the dialog box. A data record for each frame or movie you capture appears in the ImageAXS collection. To acquire files from your video device again using the same setup options, begin with Step 10 above. ACQUIRING FROM AN AUDIO SOURCE ImageAXS can make data records for digital sound files as you capture them using a Macintosh audio interface.
CREATING AND ADDING TO A COLLECTION 5 STEP 4 Click Select "(the name of your folder)". The name and Finder hierarchy for the folder appear to the left of the Set button. STEP 5 In the box labeled Names for Acquired Files, decide how to name your new files. Names consist of a stem (a prefix or a suffix) attached to a number — a stem of NewSound and a starting number of 1 will produce files named NewSound001 (or 001NewSound), NewSound002 (or 002NewSound), and so on.
CREATING AND ADDING TO A COLLECTION 5 To add files to a collection while using Adobe Photoshop or another program that uses Photoshop plug-ins: STEP 1 Save the file in Adobe Photoshop (or the compatible program that you are using). ImageAXS cannot acquire files that have not been saved. If a data record for the file already exists in ImageAXS and you want to create a new data record for the revised file, save the file to a different location or with a different name.

Leave this checkbox empty to acquire files even if they are already in the collection.

SAVING CHANGES TO A RECORD Any changes you make to a record in the Info Sheet View are automatically saved when you switch views or move to another record.
ENTERING FIELD DATA COPYING DATA TO OTHER RECORDS 6 In many cases, the same information for a field will be appropriate for several records in a collection (for example, the Photographer Name field in a collection of pictures mostly taken by the same person). Use the Copy Record and various Paste Record scripts to save time in entering the same field data into more than one record.
ENTERING FIELD DATA 6 • Paste Non-empty Fields from the record you copied replace the corresponding fields in the selected record(s) only if the copied fields actually contain information. Empty fields inthe copied record do not overwrite existing data in the selected record(s). • Paste Over The current data in the fields for each selected record is erased, and the text from the record you copied appears in its place.

The Records option imports keywords as well if they are included in the import data file. Click Keywords only if the import file contains keywords without record data.

Select a range of consecutive keywords the same way you select consecutive records: click to select the first keyword in the range, then either drag over the rest of the keywords you want to select, or hold down the Shift key as you click the last keyword in the range. Each keyword you select will be highlighted.
USING KEYWORDS TO DESCRIBE FILES 7 FINDING KEYWORDS To find a particular keyword in the Keyword List for a collection, choose Find Keyword from the Keyword menu. In the dialog box that appears, type the keyword (or part of a keyword) that you want to look for, then click Find. The Keyword List for the active collection will display the first keyword found containing the text you entered. To find another keyword containing the same text (if one exists), choose Find Next Keyword from the Keyword menu.

Use a carriage return (either hard or soft) to separate keywords in the text file. To import keywords from a file: STEP 1 Open the collection into which you want to import keywords from a text file. STEP 2 Choose Import from the File menu. A file dialog box prompts you to select a file to import.

Use either the Info Sheet View for the record, or the Thumbnails View or Text List View for the collection, to add keywords to individual data records; use portfolio windows to add keywords to several data records at a time.

You can drag records from a Thumbnails View window to a Text List View window; the only difference is in how the records are displayed, not in the records themselves.

The simplest way to search a collection or portfolio is to look for records that share one or more keywords.
SEARCHING AND SORTING COLLECTIONS 9 To begin a search involving more than one keyword for a collection: SEARCHES BASED ON FIELD DATA AND/OR OTHER CHARACTERISTICS STEP 1 Select one or more keywords in the Keyword List. STEP 2 Click the Keyword Search button in the upper right corner of the Keyword List. The Search dialog box appears, with the selected keyword(s) displayed as a basis for the search.
SEARCHING AND SORTING COLLECTIONS STEP 4 9 Select a qualifying term (such as "contains" or "begins with") from the center pull-down menu. Qualifying terms such as “greater than” or “less than” with regard to text strings refer to whether the search results are earlier or later in the alphabet (A is less than D, for example); a blank field is considered “less than” any field with text in it. If you select “equal to” as a qualifying term, the search results must exactly match the entered value.

All of the thumbnails and data records in the collection will be sorted by the contents of this field. STEP 4 To sort by a secondary field when the contents of the first field are identical, click More and repeat the step above. You can add fields to sort by until you have used all of the fields in the collection.

If you have a Power Macintosh, you can also open this dialog box by holding down the CTRL key and clicking a selected record, then choosing Delete Record from the contextual pop-up menu that appears.
MANAGING DATA RECORDS UPDATING RECORDS 10 When you move the source file for a data record to another volume outside ImageAXS, it becomes offline, and you can no longer view or manage it in ImageAXS. (ImageAXS uses the Macintosh alias manager to track files that are renamed and/or moved on the same volume.) To update the data record to reflect the new location of the source file, use the Update Location command in the Source File menu.
MANAGING DATA RECORDS 10 • All Disks ImageAXS will search disk drives of both types. • Specify Disk or Folder If you know where the source files are located, select this option. After you click OK (see Step 5), find the disk or folder to search in the standard file dialog box that appears. STEP 4 Click to put a check mark in the Update Thumbnail box if you want to create a new thumbnail image for each source file that is found. STEP 5 Click OK.

MANAGING SOURCE FILES 11 You can also open a source file for a data record in its default editing application in any of the following ways: • If you have a Power Macintosh, select the record(s) for which you want to edit the source file, then hold down the CTRL key and click a selected record, and choose Edit Source File from the contextual pop-up menu that appears. • Hold down the Command (z) as you double-click the thumbnail image for the record in either the Thumbnails View or the Info Sheet View.
MANAGING SOURCE FILES SELECTING AN ALTERNATE EDITING APPLICATION 11 Use the ImageAXS Preferences dialog box to select alternate editing applications for image, movie, sound, or 3D files. These programs open when you choose Edit With Alternate from an ImageAXS contextual menu (see “Editing Source Files” on page 11-1). To identify an alternate application for editing source files: STEP 1 Select Preferences from the Edit menu. The ImageAXS Preferences dialog box appears.
MANAGING SOURCE FILES MOVING SOURCE FILES 11 Moving source files adds them to the new location you choose, but removes them from their original location. When you move source files, ImageAXS updates the respective data records so that the source files remain online. To move source files: STEP 1 Select the record(s) whose source files you want to move. STEP 2 Choose Move Source File from the Source File menu. A standard file dialog box appears.

You can also use this dialog box to move the source file. To do this, select a new or different folder to hold the file. The slide show works by opening the Source File View for selected data records, one after another. Source files that require mouse interaction to manipulate (such as 3D and virtual-reality files) are displayed in slide shows as still images.
SLIDE SHOWS 13 To end a slide show: • Press ESC or click the upper left corner of the Slide Show navigation window to close it. To pause during a slide show: • Click one of the arrow buttons in the Slide Show navigation window without releasing the mouse button. Release the mouse to let the slide show continue. CHANGING SLIDE SHOW OPTIONS Use the ImageAXS Preferences dialog box to change the way slide shows are displayed. To change slide show options: STEP 1 Select Preferences from the Edit menu.

SLIDE SHOWS 13 To choose if a slide show uses captions: • In the box labeled Display Slides, click to put a check mark in the Show Captions checkbox. The caption for each image will be the same as the label shown for the record in the Thumbnails View. DISPLAYING SMALL IMAGES To choose how small images are displayed, do one of the following: • In the box labeled Small Images, click either the Actual Size radio button or the Scale Up radio button to determine the display size to use in the slide show.

In addition, you can fit more material on each page by reducing the number in the Scale text entry box of the Page Setup dialog box below 100 percent.
