Contents Index PAGIS PRO FEATURES Pagis Pro tools are designed to improve your work flow, productivity, and organization. Please read this section for highlights of the many features and benefits Pagis Pro provides. ◆ The Pagis Inbox The Pagis Inbox (Figure 1–2) is a special folder installed on your Windows desktop. It is Pagis Pro’s default location for scanned documents and the main control center for Pagis Pro operation.
Contents ◆ Index Pagis Folders There is only one Pagis Inbox. However, Pagis Pro enables you to change any standard Windows folder into a Pagis Folder, which has all the same enhancements as the Pagis Inbox. For organizing your scanned documents, the Pagis Inbox provides several sample Pagis Folders—Business Materials, Finances, Home, Magazine Articles, Photographs, and Recipes.
Contents ◆ Index Scan and capture high quality color images in extremely compact file sizes Only Pagis Pro offers the XIF (eXtended Image File) format, which enables you to store high quality color scans in extremely compact file sizes. A typical color magazine page, for example, can take up less than 100 kilobytes when scanned to XIF. By contrast, a JPEG version of the same file could be as much as five times the size. JPEG is a very popular image compression format.
Contents ◆ Index Fax your scanned documents With Pagis Pro, a modem and fax software, you can quickly and conveniently fax text documents, forms, photos and so on. To achieve the best quality image, Pagis Pro enhances the scanned document before it is faxed. Some of the fax applications supported by Pagis Pro are Delrina WinFax and Eclipse Fax. For a complete list of supported fax applications, see Appendix A, “Supported Programs and File Formats.
Contents ◆ Index Search and retrieve all documents on your system The Pagis Search Tool enables you to perform a full text search of the scanned documents and electronic (for example, Word) documents on your system. You can also add keywords to scanned documents so you can easily find them.

Contents Index INSTALLING AND TESTING YOUR SCANNER Using built-in ISIS drivers, Pagis Pro works with many popular desktop scanners. In addition, with its support of the TWAIN standard, Pagis Pro can work with scanners and other devices, such as digital cameras, that provide their own TWAIN source drivers. Contents Index Uninstalling the old Pagis software If you have Pagis Pro 97 or Pagis SE, you must uninstall it before installing the new version of Pagis Pro. To uninstall the old version of Pagis software: 1. Close all active applications, including the Pagis Tool Bar and Send To Bar. 2. On the Windows task bar, click: Start ➧ Programs ➧ Pagis ➧ Uninstall Pagis 3. Follow the screen messages to proceed with the Uninstall process.
Contents Index 2. Fully install Pagis Pro 2.0 using the procedure that starts on page 2–6. 3. Locate the Upgrader program. The program name is Upgrader.exe. It is located in the installation directory that you specified for Pagis Pro 2.0, typically: C:\Program Files\Xerox\Pagis 4. Double-click on the Upgrader.exe program to run it. A message box informs you that Pagis Pro 2.0 has detected an old Pagis index, and asks if you want to upgrade it. 5. Click Yes in the message box.
Contents Index Running the Pagis Pro setup program To install this new version of Pagis Pro software for Windows 95, Windows 98, or Windows NT 4.0: 1. Insert the Pagis Pro CD into your CD-ROM drive. An autorun program on the CD-ROM launches the Pagis setup program automatically. An initial screen provides several options. ☞ If your system is set up to ignore autorun commands, use Windows Explorer to navigate to the Pagis CD-ROM. At the top-level of the CD-ROM, double-click the Autorun.
Contents Index 4. Read the license agreement, then: Click No if you do not accept the license agreement. Pagis Pro setup will close. Click Yes to proceed with installation. A screen to specify the installation drive and folder now appears (Figure 2–2). Browse to specify a different installation drive or folder Click Next to proceed Figure 2–2. For example, if you click the Pagis Program item, then click Change, you can opt not to install TextBridge Pro or MGI PhotoSuite.
Contents Index ☞ The Pagis SendTo Bar is a convenient way to import scanned documents to your programs. You simply drag a scanned document to a program shortcut on the SendTo Bar, and the scanned document is converted and imported automatically. This feature is described in more detail in Chapters 3 and 4. Specify the programs to appear on the SendTo Bar, then click OK Figure 2–4. Add Shortcuts dialog box 9. Find and select your scanner in the list, and if necessary configure it to use the correct scanner settings. When you are done, click OK in the Select Scanner dialog box. Most new scanners and digital cameras have TWAIN drivers, which are provided by the manufacturer.
Contents Index The default selection is to use the Pagis scanner interface, which provide access to all of Pagis Pro’s scanner settings. It is recommended that you start with the default here, particularly if your scanner is one that is listed in the release notes as having been certified with Pagis Pro. However, not all TWAIN scanner drivers are designed to be used with the TWAIN user interface hidden. In this case, you must configure your scanner to work with its own scanner settings.
Contents Index 11. Complete the electronic registration. Follow the instructions in the electronic registration screens. If you do not have a modem or fax machine, you can click a Print Mail Form button from the electronic registration program and mail it to ScanSoft, Inc. Note It is highly recommended that you register your copy of Pagis Pro. This entitles you to free customer support, and assures that you are kept up to date on software updates and upgrades.

Restarting Windows dialog box WHERE TO GO FROM HERE With Pagis Pro fully installed, you are ready to begin using the product. Please refer to Chapter 3 of this guide. It is designed to help you learn the primary features of Pagis Pro. UNINSTALLING PAGIS PRO To restore your PC to the state it was in before you installed Pagis Pro, use the following procedure.
Contents Index 1. Close all active applications, including the Pagis Pro Tool Bar, Send To Bar, and Pagis Index Manager Scheduler. The Pagis Index Manager Scheduler runs as a background process. It places a small icon in the right-hand or lower corner of the Windows task bar: Left-click on the icon to display a context menu. Click the Close Index Manager Scheduler command. A dialog box to confirm the closing appears. Click Yes in the dialog box. 2.
Contents Index 4. Click Yes to continue the uninstall process. A progress dialog box appears indicating the items that are being removed from your system. The first item is “Shared program files.” These are system-level files that Pagis Pro installs. Because these are system-level files, the Uninstall Utility displays another dialog box to confirm the removal of these shared files. 5. In the Remove Shared File dialog, click Yes To All. Click Yes again to confirm. The uninstall process continues.
Contents Index 8. Click OK to finish the Uninstall process. If you selected the Yes option, your system is rebooted automatically at this stage (Recommended). If you selected the No option, make sure to reboot your system as soon as possible to finish the Pagis Pro uninstall process. After you reboot, a Pagis cleanup utility program runs automatically.
Contents 3 Index LEARNING PAGIS PRO Assuming that you successfully completed the setup steps in Chapter 2, you are now ready to learn more about Pagis Pro operation.
Contents Pagis Inbox Index When you install Pagis Pro, the Setup program places the Pagis Inbox icon on your Windows desktop. The icon serves as a shortcut to the Pagis Inbox folder. By default, the Pagis Inbox folder has the following location: C:\My Documents\Pagis Inbox (Windows 95/98) C:\Pagis Inbox (Windows NT 4.0) Double-click on the desktop icon to open the Pagis Inbox. The Pagis Inbox, an enhanced Windows folder, is the control center for Pagis Pro operations (Figure 3–1).
Contents Index Like all Windows folders, the Pagis Inbox offers standard menus and commands, toolbar, and views (Large Icon, Small Icon, List, and Details).

Search Tool to locate files by content or keyword on any hard drive, removable drive, or CD-ROM. Update Index tool, which lists, and lets you update, any or all of the file indexes that you have created.
Contents Index The SendTo Bar provides a powerful, fast and convenient way to import scanned documents to the other applications on your system. To do this, you simply click and hold on a document, and drag it to the target program’s shortcut on the SendTo Bar.
Contents Index SCANNING A DOCUMENT To scan a hard copy document into Pagis Pro, use the Scan button on the Pagis ToolBar, as follows. Note This procedure assumes that you have properly connected your scanner and it is working with Pagis Pro. Also, this basic procedure uses the scanning defaults built into Pagis Pro. For more details about the Scan Tool settings, please refer to Chapter 4. 1. Place the page(s) to be processed into the scanner.
Contents Index 3. Select the page type of the document to be scanned. ☞ The Any Document page type is the default and works well for most documents. 4. Click the Scan button on the Scanner dialog box. ☞ With most flatbed scanners, Pagis Pro can perform a two-pass scan. This optimizes binary (black and white) scanning for the text layer and color scanning for the graphics layer. If you select Letter as the page type, or Photograph, Pagis Pro will only perform a one-pass scan.
Contents Index 5. To continue scanning go to Step 6. To end scanning and save your document, go to Step 8. 6. Insert the next page into the scanner, and click the More Pages button. A More Pages dialog box appears allowing you to select a different page type for this next page (Figure 3–6). Contents Index Pagis Document.xif Also, after the file is stored in the Pagis Inbox (or other destination folder), Pagis automatically opens the folder on your desktop, and selects the file for you. Finally, the Scan Tool closes automatically, as controlled by the Close when done checkbox (which is turned on by default). COPYING A DOCUMENT When you direct Pagis Pro to copy a document, it automatically does so in two stages: scanning the original document; then printing it to the specified printer.
Contents Index • Reduce/Enlarge: Leave on Reduce To Fit unless you have a specific size in mind. With this setting, the page is slightly reduced to accommodate the built-in margins in printers. • Enhance Text and Pictures: Click this on only if you are copying a document with photographs. With text-only documents, leave this off. • Collate Copies: Click this on if you are scanning more than a one-page document.

Insert the next page of the document in the scanner. In the Copier Progress dialog box, click More Pages. The next page is scanned and added to the Copier Progress page area. Repeat this step for each additional page. When all pages have been scanned, go to Step 6. 6. Click the Print Copy button.
Contents Index FAXING A D OCUMENT In Pagis Pro, faxing a document involves three separate operations—scanning the original document; optimizing the image quality; and sending the image(s) to your fax software (for example WinFax™ Pro). After Pagis Pro sends the image to your fax software, you specify the fax phone number and send the fax as you ordinarily would. Refer to the documentation that came with your fax software for additional instructions.

The first page of the document is scanned. A Fax Progress dialog displays the status of the job. When the page is completely scanned, it appears as Page 1 in the Fax Progress window (Figure 3–10, next page). 5. If you are faxing a multiple-page document, go to Step 6 to scan the next page.

Fax Progress dialog 7. Click the Send Fax button. All scanned pages are saved to a temporary file, then your fax software takes over. 8. When the fax process is completed, the temporary document is automatically discarded.
Contents Index REFINING AND ANNOTATING A D OCUMENT With the Pagis Editor, you can color correct, straighten, crop, and reorder pages in a scanned XIF document. You can also add annotations and draw emphasis to key parts of the document. To perform those editing task on a XIF document, use the following procedure: 1. In the Pagis Inbox or other folder, double-click the XIF document that you want to edit. Pagis Pro displays the document in the Pagis Editor window (Figure 3–11).
Contents Index 2. Adjust the document view. You can use the tools on the Standard toolbar (Figure 3–12) or commands in the View menu to change the way you see your document in the Editor window. The Pagis Editor provides the annotation tools shown in Figure 3–14 to allow you to make notes or draw attention to various part of the document.

Contents Index 3. Pull down the File menu, and select the Scan command. In a few moments, the Scan Tool (refer to Figure 3–4) appears on top of the Editor window. 4. Select the Form page type. 5. Click the Scan button. After the page is completely scanned, it appears in the Scanner Progress dialog’s view window (refer to Figure 3–5). 6. On the Scanner Progress dialog box, click the Save button. The scanned form is now placed in the Editor window (Figure 3–16). Figure 3–16.
Contents Index 7. Pull down the Forms menu in the Pagis Editor and choose Detect Fields. The Editor looks for horizontal lines on the scanned image. The detected fields are placed in a layer above the image file in cyan (light blue) for higher visibility. 8. Prepare to type into the fields. • You can edit the size of any field. Click it to display corner handles. Click and hold on a handle and move it until the field is the desired height and width.
Contents Index 9. Type into the fields. • Position the cursor on a field, then double-click on it. A typing cursor appears. • Type text into the field. • Press the Tab key to move to the next field. 10. Repeat Step 9 until you have filled in all the fields. ☞ To edit the information you have typed into a field, double-click on the field. The typing cursor appears at the beginning of the field, and you can move it around to add text, delete it, backspace over it, type over it, and so on.
Contents Index 2. From the Pagis Editor, select the file to be edited. • Select the Open command from the File menu to display the Open dialog. By default, the Open dialog displays the Pagis Inbox. • Select the XIF (or other image) file to open in the Editor. ☞ With the Editor and embedded PhotoSuite tools, you can open and edit many different image file types, such as Windows Bitmap (BMP), TIFF, JPEG, and many more. The full list is shown in the Files of Type list box in the Open dialog.
Contents Index 3. Access PhotoSuite tools to edit the image. There are two ways to access the PhotoSuite tools in the Editor: • From the Tools menu, select the Picture Edit command. • In segmented documents with both text and pictures, doubleclick directly on a picture in the displayed document. Either way, PhotoSuite takes over the Editor window and displays its menus and tools (Figure 3–19).

When you have finished picture editing, click: PhotoSuite closes, and the Pagis Editor menus and tools return to the window. The edited picture remains in the Editor window. 6. Save the newly edited image to a different file name. 3–24 • Pull down the File menu and select the Save As command to display the Save As dialog box.
Contents Index SEARCHING FOR A D OCUMENT The Pagis Pro Search Tool provides a powerful means to find and access scanned and electronic documents on your hard drives, Jaz™ (and other removable) drives, and CD-ROMs. Using the Search Tool, you can define simple or complex searches to find any electronic text file, any scanned image file that contains text, or any file to which you assigned keywords.

When you select a Pagis (XIF) document specifically, additional commands appear in the File menu (Figure 4–2). These commands enable you to stack and unstack, convert, and index Pagis documents.

Contents Pagis SendTo Bar Index The Pagis SendTo Bar holds shortcuts to other programs (for example, a word processor) on your system. It provides a quick and simple way to import scanned Pagis documents to programs that support Windows drag-and-drop capabilities. As shown in Figure 4–1, the SendTo Bar is integrated with the Pagis Inbox. To place it on your Windows desktop, you can also launch the SendTo Bar, like the Pagis ToolBar, as a standalone program.

A Pagis Folder has all the same features as the Pagis Inbox— Pagis ToolBar, SendTo Bar, Thumbnails, and so on.
Contents Index Removing Pagis Folder attributes To remove the Pagis Folder attributes from a folder: 1. Navigate to the Pagis Folder via My Computer or a Windows Explorer view. 2. Right-click the Pagis Folder. 3. In the context menu, select the Remove Pagis Attributes from Folder command. The folder icon is updated without the Pagis Folder symbol, and when you open the folder, all Pagis enhancements are removed.

XIF lets you do this. However, you do not want the scanned image to take up a lot of space on your computer. XIF’s built-in file compression technology produces very compact files. Later, you may want to search on the data contained in this magazine page.
Contents Index Each layer is stored in an optimal resolution and bit-depth, enabling you to process the document through any of the Pagis functions. For example, the text layer is stored at 300 or 400 dots per inch resolution in one-bit binary (black and white) color depth. This enables you to index the document for full search and retrieval. It also enables you to OCR the document so you can use the actual text in your word processor or other application.

One command, Stack Documents, lets you combine two or more XIF files into one. To stack two or more XIF files into one file: 1. In an Explorer view (for example, the Pagis Inbox), select the XIF files to be stacked. 2. Point to one of the files in the selected group and hold down the right mouse button.

One command, Unstack Document, lets you create a new XIF file for each page in the original XIF file. To unstack a document: 1. In an Explorer view (for example, the Pagis Inbox), select the XIF file to be unstacked. 2. Point to the selected file and hold down the right mouse button to display the context menu (refer to Figure 4–10). 3.

Contents XIF property sheets Index In Windows, when you point to and select a file on the desktop or in any Explorer view, you can display a context menu by clicking the right mouse button. One of the commands in this menu is the Properties command. When you select this command, it displays the General properties of the selected file in the Properties dialog box. For XIF files, Pagis Pro adds up to two additional property sheets to the Properties dialog box—Pagis Index and XIF Details.

In addition, you can set up your scanner or digital camera any time after installation. This section discusses information you need to know to set up and use your scanner or digital camera with Pagis Pro.
Contents Index Selecting the scanner or digital camera driver To select your scanner or digital camera driver from the Scan Tool, use the following procedure. Note This procedure assumes that you have already connected the scanner to your PC and installed any system-level driver or a TWAIN source driver provided by your scanner manufacturer. Consult the scanner documentation for details about installing your scanner, interface card, and driver. 1.

If you have at least one TWAIN scanner driver installed on your system, the Select Scanner dialog box defaults to displaying only TWAIN scanner drivers. If no TWAIN scanner drivers are found, this dialog box loads the built-in ISIS scanner drivers. Note that some TWAIN drivers are not listed by the manufacturer’s name. For example, some UMAX scanners use the Vista TWAIN driver. Some HP scanners use the DeskScan or PictureScan driver.
Contents Index Displaying the TWAIN dialog box By default, when you select a TWAIN scanner driver, it is configured to run directly from Pagis Pro. The TWAIN driver’s own user interface is hidden. Because some TWAIN drivers are not designed to be used with their interfaces hidden, Pagis Pro cannot always directly control a TWAIN scanner.

Contents Index Changing default properties for scanned documents In Chapter 3, you are shown how to scan a document using Pagis Pro default settings. In many cases, selecting a Page Type in the Scan Tool and scanning using the defaults for that Page Type provide excellent results. However, for some documents, you may want to adjust settings to further control or define a scanned document. This section describes the settings you can adjust to control the scanning and document creation process.

If you specify Text and Pictures, Pagis Pro will perform a segmentation, or layering, pass on the scanned image. Also, depending on your scanner, Pagis Pro may scan in two passes, a high-resolution binary (black and white) scan, and a lower resolution color scan. Text only or Picture only results in a file with no segmentation. 4. Specify color and resolution.

If necessary, specify Brightness settings. • Auto—If available for your scanner, select this setting, which attempts to correct brightness on a page-by-page basis. • Manual—If the original page or picture is dark or tinted, you can Darken or Lighten the scanned image accordingly. 6. Specify another standard page size or a custom page size. • Standard— The list box contains the default page sizes supported by your scanner (for example, Letter, A4, A5, and so on).
Contents Index Specifying page refinements In the Scan Tool, page refinement properties control Pagis Pro’s image processing functions. When you scan a document, you can apply some, all or none of these image enhancements (Table 4–1). Table 4–1. Every time you scan a document with a particular page type, it is automatically given these attributes. You can later search for documents based on this information. Contents Index Scanning a double-sided document to a XIF file If your scanner is equipped with an automatic document feeder (ADF), you can scan a stack of pages and have Pagis Pro process them continuously. Additionally, with an ADF, you can process double-side documents and have Pagis Pro automatically collate them. Note This feature is available only on scanners with an ADF, or sheetfed scanners that can accept a stack of pages. It does not work with flatbed or single-page-at-a-time sheetfed scanners.

Contents Index Acquiring an image from a digital camera Similar to scanning, Pagis Pro can also accept images from digital cameras. Many digital cameras are like scanners: they can be connected to a PC; and they have a TWAIN source driver. By setting up Pagis Pro to use a camera’s TWAIN source driver, Pagis Pro can download images directly from the camera’s internal memory source. The following procedure describes how to use Pagis Pro to download an image through a digital camera’s TWAIN source driver.

Contents Copying documents Index With Pagis Pro, you can use your scanner and printer as a copy machine. If you have both a color scanner and a color printer, you can make excellent color copies. When you direct Pagis Pro to copy a document, it automatically does so in two stages: scanning the original document; then printing it to the specified printer.

You can also click the Properties button to specify scanner and page refinement settings. To set up your copy job: 1. Specify the number of copies. • Click in the large number display area, and type the number of copies. • Alternatively, click the ▲ button next to the number display to increment the number. 2. In the Reduce/Enlarge list box, select the copy size.

When you select this setting, Pagis Pro automatically: • straightens the document • removes dots, bleed-through, and other noise from scanned pages • performs segmentation, which improves the text and picture quality 4. Specify whether you want page collation. Click Collate Copies on if you are scanning more than one copy of a multiple-page document.

Repeat this step for each additional page. When done scanning, go to Step 5. 5. Click the Print Copy button. All scanned pages in the Copier Progress window are printed the specified number of times and collated. When printing is completed, the scanned pages are discarded.
Contents Index Select a fax printer A fax modem connected to a computer generally uses front-end software (for example, WinFax™ Pro) that simulates a printer driver. This is how the fax software creates the bitmap images of the document pages that it sends out. You select your fax printer the same way you select any printer connected to your system. Use the following procedure to select a fax printer: 1. Click the Fax tool on the Pagis ToolBar.

Contents PAGIS EDITOR Index The Pagis Editor (Figure 4–30) enables you to open, view, refine, annotate, OCR, and edit pictures in Pagis (XIF) documents. You can open and edit other image formats in the Editor, as well. Built-in TextBridge Pro optical character recognition (OCR) tools enable you to export text from the scanned document into virtually any word processor or text editor.

See Appendix A for a list of supported image formats. Save command The Save command saves the currently opened document, with any changes that you have made in the Pagis Editor, to your file system. If this is a new document, the Save command displays the Save As dialog box so you can name and define a location for the file.

Contents Index Send To command The Send To command is a quick way to export the current XIF document to any of the programs that are on the Pagis SendTo Bar. (Refer to “Pagis SendTo Bar” earlier in this chapter for more information.) The Send To command displays the available programs in a cascading menu (Figure 4–33). Contents Index Print command The Print command displays a standard Windows Print dialog box. In the Print dialog box, you can specify the pages(s) of the document to print. You can also change the printer and its properties, specify print quality, and the number of copies. Scan command The Scan command displays a version of the Scan Tool, customized for scanning pages directly into the open Editor document. For more information, refer to “Scan Tool” earlier in this chapter.
Contents Index Undo command The Undo command restores the document to the state it was in before you performed the last operation. For example, if you created an annotation on the page, the Undo command erases the annotation. Note that the Undo command changes its actual name depending on the last operation you performed. So, for example, if you created an Arrow annotation, the Undo command is named Undo Create Arrow.
Contents Index The Pagis Editor can import a number of popular image formats, including TIFF, JPEG, BMP, PCX, DCX, Photoshop, and many more. Simply select and copy an image from any imaging application. Then, in the Pagis Editor, select the Paste as New Page command to import the image as a new page. It is placed in front of the current page. Clear command Use the Clear command to remove the selected region, segment, or page without placing it on the Windows clipboard.

Reverse Page Order command The Reverse Page Order command is useful when you have a scanner with an ADF that feeds pages in reverse order. With such scanners, when you open the document in the Editor, the first page scanned will be Page 1, the second page scanned Page 2, and so on.
Contents Index Zoom command The Zoom command provides a cascading menu of commands to increase or decrease the size of the page displayed in the Editor’s page view area. These Zoom commands are shown and described in Figure 4–38. Contents Index Enhance Text Display command The Enhance Text Display command, when selected, performs a scale to gray operation on the page display so that it has a smoother appearance. (It does not change the actual image.) Show Annotations command The Show Annotations command shows or hides any annotations that you have added to the displayed page. Show Background Tint command The Show Background Tint command works only with segmented documents.

Contents Index Picture Edit command The Picture Edit command enables you to launch the built-in MGI PhotoSuite software to image edit any part of the displayed Pagis document. With PhotoSuite, you can perform such picture editing operations as air brushing, freehand drawing, erasing, modifying colors, and performing a number of special effects. In the Pagis Editor, display a photograph or select a picture segment in a displayed document, then select the Picture Edit command.
Contents Index Select command The Select command is the default mouse pointer mode. It is indicated by a northwest-pointing arrow: In Select mode, you can click on an image segment in the displayed page to select it. When an image segment is selected, you can cut, copy, or picture edit it, or drag and drop it to another application. In this mode, you can also draw a marquee (dashed rectangle) around a region on the page to select it.
Contents Index The plus sign (+) indicates that the Zoom command is in Zoom In mode. Hold down the Ctrl (Control) key on your keyboard, and it changes to a minus (–), indicating that the Zoom command is in Zoom Out mode. In Zoom mode, click in the page view area to zoom in or out one level. Click again to zoom in or out another level. When neither a plus or minus sign is displayed in the magnifying glass symbol, you have zoomed in or out all the way. The Editor supports zoom levels of 25–800 percent.

You can change the brightness and contrast values either by typing in numbers or using the sliders.
Contents Index Invert Colors command The Invert Colors command reverses the displayed image’s colors. This is useful if you want to scan a film negative and invert it to positive in the Editor. Sharpen command The Sharpen command applies an image enhancement filter to the current page, providing a crisper appearance. Blur command The Blur command applies an image enhancement filter to the current page, providing a softer appearance.
Contents Index Change Resolution command The Change Resolution command displays a dialog box to modify the resolution (dots per inch) of the current page. In the Change Resolution dialog box, the current resolution is shown in an edit box. Enter a new value in the edit box, and click OK to change the resolution.
Contents Index Remove Background Tint command As illustrated in Figure 4–9 earlier in this chapter, Pagis (XIF) documents can be segmented into a number of layers. If Pagis Pro detects background tint in a scanned document, it creates a separate layer in the XIF file for this tint. To improve readability, or for other reasons, you may want to remove this tint. If so, simply use the Remove Background Tint command.

The text is entered on a colored opaque background, thus can be placed anywhere on the page image. Arrow command The Arrow command changes the mouse pointer to the arrow tool, with which you can draw an arrow pointing to any area on the page.

If no field is currently selected, this command is dimmed (unavailable). Clear All Text command The Clear All Text command removes all text from the form fields on the current page. The form fields themselves remain intact. Options command The Options command displays a dialog box to define text attributes for form field annotations (Figure 4–55).
Contents Index Toolbars in the Pagis Editor This section focuses on the Editor’s toolbars—Standard ToolBar, Annotation ToolBar, and Image ToolBar. Note All tools on the Editor’s toolbars have command equivalents. Please refer to the previous sections about the menus and commands in the Pagis Editor for more information. Standard toolbar In the Pagis Editor, the Standard toolbar provides many of the same tools you find in other standard Windows applications.

Please refer to the “Annotate menu” section earlier in this chapter for more information. These commands enable you to create text and graphical notes on the displayed page. Contents Index With index and search tools provided by Pagis Pro, you can easily manage your scanned and electronic documents. Later, you can search for and retrieve virtually any document, anywhere in your file system, in a few moments. The file management tools that Pagis Pro provides are the: ◆ Index Manager, which enables you to create, configure, schedule updates for, and otherwise maintain your search indexes. ◆ Update tool, which runs the actual indexing function to create or update an index.
Contents Index About search indexes In Pagis Pro, a search index is created to keep track of scanned and electronic documents in your Windows file system. The indexing process constructs special files that enable fast searches and efficient file retrieval via the Search Tool. Depending on the size and complexity of your file system, you can choose to manage all your documents with one search index.
Contents Index Exploring the Pagis Index Manager The Pagis Index Manager is a program that you run to create, define, delete, schedule updates for, and otherwise manage your search indexes. To launch the Index Manager, click its tool icon (shown to the left) on the Pagis ToolBar. When you select an index in the Index Manager, then select the Configure Index command, the Index Information dialog box shown in Figure 4–60 appears. Here you can change any of the information (directories, extensions, and schedule) that you originally defined for the index. For more information, refer to “Creating and defining an index” later in this chapter.
Contents Index The Manual Update radio button is the default. With this selected, you must remember to run the Update tool manually. Select the Automatic Update radio button, then program a day and time for the index to be updated automatically. ☞ Updates that involve a large number of scanned documents or other image files can take considerable time and computer resources. Therefore, it is preferable to schedule updates when you are away from your computer.

(Per Windows standards, the file name can contain up to 255 characters, including spaces. It cannot contain any of the following characters: \ / : * ? ″ < > | 4. Enter or browse to a folder in which to store the index. If you are indexing files on a mounted Jaz cartridge, you could actually save the index on the Jaz cartridge.

This displays the Select Directories and Files dialog box (Figure 4–64). • Click the checkbox of the drive(s) to be indexed. • If you want to index only specific folders on a drive, click the plus (+) sign next to the drive name to view the list of folders. By default, all folders are selected on the selected drive. Uncheck the folders not to be included in the index.

By default, Manual Update is selected. This means you will have to run the Update tool whenever you want to update the index. • Alternatively, select the Automatic Update radio button, and schedule a time when the index is to be regularly updated. • Click OK in the Schedule dialog. 8.
Contents ◆ Index Readable/writeable media (Jaz, Zip, floppy drives) With readable/writeable media, you can save the index on the cartridge or disk that contains the files being indexed. This is an option. You can also elect to keep all indexes on your PC hard drive. You should assign volume labels to all of your removable media, and try to keep them unique.

Contents Index Sharing indexes in a networked environment In a networked environment, an entire organization can use Pagis tools to share documents and indexes stored on networked file servers. Typically, one person in the organization is assigned to update the indexes on the file server(s) periodically. Or the indexes can be configured to be updated automatically. Provided all users have the necessary file permissions, they will be able to access, even modify or add to, the documents on the file server.
Contents SEARCH TOOL Index The Pagis Pro Search Tool provides versatile tools to find and access scanned and electronic documents across your entire Windows file system. This includes hard drives, Jaz™ (and other removable) drives, CD-ROMs, and shared network locations. Using the Search Tool, you can define simple or complex searches to find electronic text files, scanned image files that contain text, or any file to which you assigned attributes such as Author, Title, and Keywords.

From the Look In: list box, however, you can select a specific search index. For example, you might only want to search with an index to a removable Jaz cartridge. 5. Contents Index With the stemming feature in the Search Tool, for the previous example, you could simply type: Scan This would find documents that contained any variation of this word, such as “scanning”, “scanner”, “scanners”, “scans”, “scanned”, and so on. If you wanted to limit the search to just the search term itself (disabling stemming), use the single quote. For example: ‘Scan’ To broaden the search, you can use the comma ( , ) as a separator.
Contents Index There are three Boolean operators: and or not For example: scanner and fax This search string finds only documents that contain both words, “scanner” and “fax”. In contrast, consider this search string: scanner or fax This string finds documents that contain either one of the words “scanner” or “fax”, not necessarily both words. Use the “not” operator to exclude documents.
Contents Index Proximity searches Another way to define a search is by the proximity (closeness) of words in the search string. You can use the operators “near”, “sentence” or “paragraph”. Here are several examples: 32-bit near scanner finds documents in which the terms “32-bit” and “scanner” occur close together. The closer together they are, the higher the document is scored. 32-bit near/2 scanner the terms “32-bit” and “scanner” must be within two words of each other.
Contents Index Search by example Another way to construct a search string is to use the like expression. For example: like (“The speech addressed lifestyle issues”) This example finds documents that contain similarities to the sample text, and rates them by relevance.
Contents Index The Match exact word(s) option finds documents that contain the exact search string, even if capitalized differently. The Word(s) that sound similar option finds documents with words that are phonetically similar to the search string. For example: Pages This should find documents containing “Pagis”. Date Modified tab The Date Modified tab (Figure 4–68) provides controls to limit the search by the creation or modification dates of documents.

You can also point to a document and see a thumbnail view of it, as you can in the Pagis Inbox and any Pagis Folder. In such environments, business documents can be stored on a centralized file server and made accessible to all employees. Each user who has Pagis Pro on their local machine can use indexing and search tools to access shared company documents, such as policy documents, employee manuals, business plans, functional specifications, and so on.
Contents Index Use annotations to comment on scanned design drawings In the Pagis Editor, you can review and annotate scanned design drawings, such as architectural drawings, computer-aided design (CAD) drawings, landscape designs, and so on. Annotations provide an excellent way to provide feedback to the originator of the document. The original designer starts by scanning his or her design drawing into XIF format (or simply converting to XIF from some other format).

Historically, these records are maintained in paper format for some period of time, and then eventually stored to microfiche. Today, many professional offices are moving to scanning and CD-ROM technologies to store client records. With Pagis Pro, you can scan each client’s records into one or more XIF documents.

Using Pagis Pro and your scanner (or digital camera), you can import and manage these photographs in one or more XIF files. Contents Index • Specify the type of dithering pattern if any. For color printing, dithering blends pure colors into patterns to simulate a wider range of colors. For example, orange is produced by blending read and yellow. For black and white printing, dithering produces gray shading in graphics. Click None if you do not want any dithering. Click Fine if your resolution is 200 dpi or less. Click Coarse if your resolution is 300 dpi or higher. Click Line Art if your graphics are line drawings.

If you are printing a chart or using fully saturated, bright colors, choose Saturation. For photographs, use Contrast. Contents Index Use Netscape, Internet Explorer, or any World Wide Web browser that enables downloads. When you access the Pagis website, you are directed to the Free Downloads page. From there, find and download the Pagis Viewer. When you e-mail a XIF document to someone, you can also attach the Pagis Viewer if they do not have Pagis Pro. Sending XIF files as e-mail attachments Pagis Pro 2.0 works with most popular electronic mail programs that support drag and drop technology, and some that do not.
Contents Index America Online One of the most popular programs for electronic mail is America Online. Follow these steps to attach a XIF document to an America Online mail message: 1. From the Pagis Inbox, or anywhere in Windows, select the XIF document that you want to e-mail. 2. Drag the document onto the America Online (AOL) icon. This displays the AOL Welcome screen, prompting you for a password. 3. Type in your AOL password and click OK. AOL dials and makes the connection to the server as usual.
Contents Index Eudora Pro and Eudora Lite Follow these steps to attach a document to a mail message using either Eudora Pro or Eudora Lite: 1. Drag and drop the document you wish to attach to a mail message onto the Eudora Mail icon. Eudora immediately attaches the selected document and opens the Eudora mail message window, showing the attached document's name and file path. ☞ When you have the Eudora window open, you can drag and drop documents into the open window.
Contents Index MS Outlook Express and MS Outlook Follow these steps to attach a document to a mail message using Microsoft Exchange and Microsoft Outlook: 1. Drag and drop the XIF document you want to attach onto the MS Exchange or MS Outlook icon. A blank new message dialog box displays and shows that the selected document is attached. 2. Send the message as usual.
Contents Index 2. Type in your password and click OK. A message may display telling you whether or not you have new messages. If this occurs, click OK. You will need to wait a few seconds while the selected document is attached and a new mail message window opens up. Do not try to interact with Netscape while the document is being attached. 3. After the Netscape new message window opens with the selected document attached, send the message as usual.
Contents Index 4. Select all the applications that you want to add to your SendTo Bar, including Netscape and Netscape Mail. ☞ The Configure SendTo Bar Utility completely reconfigures the SendTo Bar. That is, it does not just add new shortcuts to those already on it. During this exercise, therefore, be sure to select all the applications you want to see on your SendTo Bar. 5. After you select the application shortcuts you wish to add to your SendTo Bar, click OK.
Contents Index Using TextBridge Pro as a standalone application One of the key tools in Pagis Pro is the award-wining TextBridge Pro 98 program. TextBridge Pro provides industry-leading optical character recognition (OCR) technologies that enable you to convert scanned documents into editable text in your word processor or other text application. TextBridge Pro is tightly integrated into Pagis Pro. It is used during drag-and-drop operations and for full-text indexing of scanned and other image documents.
Contents Index Using MGI PhotoSuite as a standalone application For picture and photograph editing purposes, Pagis Pro includes the full edition of MGI PhotoSuite™. PhotoSuite is integrated into the Pagis Editor. However, you can also run PhotoSuite as a standalone program, using all of its tools and features directly. Note PhotoSuite cannot open a XIF document directly. To edit a XIF document in PhotoSuite, use drag-and-drop instead.

Contents Index C Create New Shortcut wizard—A program in Pagis Pro that enables you to add new program shortcuts to the Pagis SendTo Bar. D digital camera—A device that resembles and works like a typical film camera. Instead of film, however, a digital camera uses built-in computer memory to store photographs as bits of data (digitally), typically in JPEG format.
Contents E Index edit box—In Microsoft Windows dialog boxes, a rectangular field into which you can type new text (for example, a file name) or make changes to (“edit”) existing text. For example, in Windows, when you click on a file name, it changes to an edit box so you can change the file name. In an edit box, you can select a point inside the text string to type new text; alternatively, you can highlight part or all of the text string and type over it. You can cut and paste text, and so on.
Contents Index G grayscale—A method of storing each pixel of an image as more than one bit of data. For example, four-bit grayscale data stores each pixel of an image as four bits of data. This enables a finer representation of the original data than simple binary (black and white, or one-bit) data. H halftone—An image composed of differently sized black dots spaced in such a way as to simulate the different gray tones of an original photograph or color drawing.
Contents Index J JPEG—Pronounced JAY-peg, this is a compressed graphic image format. It is created by choosing from a range of compression qualities (actually, from one of a suite of compression algorithms). When a JPEG is created or converted from another image format, some trade-off is made between image quality and file size. Formally, the JPEG file format is ISO standard 10918.
Contents P Index page image—A binary (black and white) or color representation of a page stored in computer memory, or on disk in an image file. Pagis Editor—One of a suite of programs in Pagis Pro, enabling you to view, refine, annotate, picture edit, and otherwise manipulate scanned XIF documents (and other image file formats). Pagis Folder—A standard Windows folder that has been enhanced with Pagis tools and views. See also Pagis Inbox.
Contents Index Pagis ToolBar—In Pagis Pro, a program on your Windows desktop and in the Pagis Inbox that holds icon buttons to launch all the main programs built into Pagis Pro. pixel—Short for picture element, one of many individual units that together make up an electronic picture. portrait orientation—Describes a page on which lines of print flow across the more narrow dimension (or width) of the page.
Contents S Index scale to gray—An image enhancement process that converts a binary (black and white) image into 4-bit or 8-bit grayscale to give it a smoother appearance. See also grayscale. scanner driver—A software module that serves as an interface between a software application and a scanner. The scanner driver sends requests from the application to the scanner in a language the scanner can understand. Pagis Pro supports two types of scanner source drivers—ISIS or TWAIN.

In Pagis Pro, the Pagis Inbox and Pagis Folders support a large thumbnail view that helps you easily identify the contents of documents.
