Please read this section for highlights of the many features and benefits Pagis Pro provides. ◆ The Pagis Inbox The Pagis Inbox (Figure 1–1) is the main control center for Pagis Pro operations and the default location for scanned documents. It is a special folder with a unique look that is placed on your Windows desktop during installation.
Contents Index For organizing your scanned documents, the Pagis Inbox provides several sample Pagis Folders—Business Materials, Finances, Home, Magazine Articles, Photographs, and Recipes. You can change the names of these folders or delete them if you wish. ◆ Pagis Folders There is only one Pagis Inbox (which is actually a Pagis Folder). However, you can convert any standard Windows folder into a Pagis Folder, which has all the features of the Pagis Inbox.
Contents ◆ Index SendTo Bar drag and drop to registration wizard You can add applications to the SendTo Bar at anytime. Simply drag and drop the application shortcut onto the SendTo bar. This opens the Drag and Drop Registration Wizard so you can register the application with Pagis Pro. ◆ Scanner Setup Wizard The Pagis Scanner Setup Wizard helps you set up your scanner for use with Pagis and TextBridge, and helps diagnose and solve incompatibilities. You can start the wizard from the Pagis Scan Tool.
Contents ◆ Index Web Capture Tool Pagis allows you to specify a URL address for an Internet shortcut which is saved in your Pagis Inbox or a Pagis Folder, and rendered as a URL Thumbnail. By double-clicking the thumbnail, you launch your browser and go right to the URL address. ◆ Direct scanning to many popular applications Pagis Pro allows you to scan documents directly into many applications.
Contents ◆ Index URL Thumbnails Pagis allows you to save shortcuts to Internet addresses using the Web Capture tool. These shortcuts are rendered as thumbnails in the Pagis Inbox and Pagis Folders. You can annotate and edit by double-clicking the thumbnail to open it in the Pagis Editor. You can browse to the associated website by double-clicking on the Browse button.

Some of the annotation tools include margin note, sticky note, highlighter, arrow, line, circle, rectangle, and stamp. Contents Index INSTALLING AND TESTING YOUR SCANNER Pagis Pro works with many popular desktop scanners. With its support of the TWAIN standard, Pagis Pro can work with scanners and other devices, such as digital cameras, that provide their own TWAIN drivers. Note Check the Pagis Pro home page on the World Wide Web for the latest list of supported scanners and digital cameras: http://www.scansoft.com Scanners require a TWAIN source driver, which is provided by the scanner or interface card manufacturer.
Contents Index INSTALLING PAGIS PRO SOFTWARE After you have installed and tested your scanner, you are ready to install Pagis Pro software. This section covers these topics: ◆ If you already have TextBridge ◆ Upgrading from an earlier Pagis version ◆ Running the Pagis Pro setup program If you are a new Pagis user, go directly to “Running the Pagis Pro setup program” in this chapter.
Contents Index Second, you can keep your old Pagis search databases and use them with this new version of Pagis Pro. An Upgrader program is provided for this purpose. See the subsection, “Upgrading an old Pagis search database,” for information about how to do this. Uninstalling the old Pagis software You cannot have two versions of Pagis on your computer at one time. However, it is not necessary to uninstall your old software, since Pagis has simplified this for you.
Contents Index 3. On the Pagis Main Install Window, click Install Pagis Pro. Depending on your system, a message might inform you that Microsoft DCOM is not installed on your system Figure 2–1). Click to install Microsoft DCOM if this message displays Figure 2–1. Microsoft DCOM Information Screen 4. If the Microsoft DCOM Information Screen displays, click OK. Otherwise, go to step 6. Microsoft DCOM is then installed on your system and you will be asked if you wish to restart your computer. 5.

If your system does not meet the minimum necessary requirements, a report is displayed and asks whether you wish to continue anyway. Click No, if you do not wish to continue installing Pagis at this time. Pagis Pro setup will close. Click Yes if you wish to continue without meeting the minimum system requirements.
Contents Index If your system meets the minimum requirements, or if you choose to continue installing Pagis without meeting the minimum requirements, the Pagis Pro Software License Agreement is displayed in a scrolling window. 7. Read the license agreement, then: Click No if you do not accept the license agreement. Pagis Pro setup will close. Click Yes to proceed with installation. The next screen lets you specify the Setup Type—Typical or Custom. 8.
Contents Index 9. Deselect any components you do not want to install, then click Next to continue. The Choose Destination Location dialog box appears (Figure 2–4). The next screen lets you specify the components to be installed. The Select Program Folder dialog then appears (Figure 2–5).

Accept the default name or type another name for the folder in which Pagis is to be installed, then click Next. The setup program now installs Pagis Pro program files on your Start menu. After all program files are installed, a dialog box appears so you can indicate where to create the Pagis Inbox (Figure 2–6).

Accept the default location or browse to the destination drive where you wish to create the default Pagis Inbox. 13. Click Next on the Choose Destination Location dialog box to finish installing Pagis. This installs all of the selected program files, the PDF documents, adds all of the Registry entries, and creates the Start Menu entries.
Contents Note Index It is highly recommended that you register your copy of Pagis Pro. This assures that you are kept up-to-date on software updates and upgrades. After you either fill out the registration screen or cancel it, the Installation Complete dialog box appears (Figure 2–7). Contents Index ☞ It is recommended that you read the Release Notes for any last minute information that may affect the way your system configuration or scanner run with Pagis. Click Finish on the Installation Complete dialog box to finish the installation process. A dialog box then appears, recommending that you restart your system. You must restart your system before using Pagis Pro. 15. In the dialog box, specify whether you want to restart your PC now or later, then click OK.
Contents Index The program Upgrader.exe is used to upgrade Pagis search databases from Pagis 97 and Pagis SE to Pagis Pro 3.0, while Upgrader2.exe is used to upgrade search databases from Pagis 2.0 and Pagis ScanWorks to Pagis Pro 3.0. These upgrade files are located in the installation directory that you specified for Pagis Pro. 4. Double-click on the Upgrader.exe or (Upgrader2.exe) program to run it.

Contents Index UNINSTALLING PAGIS PRO To restore your PC to the state it was in before you installed Pagis Pro, use the following procedure. Note Any Pagis documents that you created after installation are not removed by uninstalling Pagis Pro. If any of these documents were stored in the Pagis Inbox folder, the folder is not removed either. 1. Close all active applications, including the Pagis Inbox. 2. From the Start Menu, click on Settings, then click on Control Panel. 3.

In the Remove Shared File dialog, click Yes To All only if you know the files are not be sing used by another program; click No to All if you don't know whether any of the shared files are being used by another program. Click Yes again to confirm. The uninstall process continues. When the process is completed, an “Uninstall completed” message is displayed. 6. Click OK. This displays a message recommending that you restart your computer. 7. Click OK.

Contents Index PAGIS INBOX — THE PAGIS CONTROL CENTER When you installed Pagis Pro, the Setup program places the Pagis Inbox icon on your Windows desktop. The Pagis Inbox is your main control center for accessing and using the Pagis tools and features. Think of the Pagis Inbox as a greatly enhanced Windows folder. It has all the usual features of a Windows folder, plus access to all the Pagis tools.
Contents Index The Pagis Inbox can display scanned and electronic documents (Word, Excel, and so on) as Thumbnails, miniature views of the actual documents. Each thumbnail has a small icon on its lower right corner that identifies the file type (such as Pagis, Word, or Excel). A Size tool in the Pagis Inbox allows you to increase or decrease the size of thumbnails.
Contents Index Table 3–1. Pagis ToolBar Tools (cont.) Click To Launch The Scan Tool—which has Scanner, Copier, and Fax options to perform all of these tasks. You can also run the Scanner Setup Wizard from the Scan Tool. This tool helps you diagnose and fix scanner problems. Web Capture Tool— to store snapshots of web sites in Pagis (XIF) documents, which you can use as shortcuts to the actual web site by clicking an attached Browse button.
Contents Pagis SendTo Bar Index The Pagis SendTo Bar (Figure 3–3) is a standard component of the Pagis Inbox. Also during installation, Pagis looks for all the applications on your computer and adds shortcuts for them to the SendTo Bar. Drag a scanned document to any shortcut on the SendTo Bar to import it to an application Figure 3–3. SendTo Bar The SendTo Bar provides a powerful, fast and convenient way to import scanned documents to the other applications on your system.
Contents ◆ Index Netscape Navigator—Pagis Pro sends the document to TextBridge Pro, which performs document recognition and converts it to HTML format. Then Navigator opens automatically and displays the converted document. Pagis Pro’s SendTo Bar works similarly with a large number of Windows applications. See Appendix A, “Supported Programs and File Formats,” in Chapter 4 of this manual which is in Adobe Acrobat (PDF) format on the CD-ROM.
Contents Index 1. Place the page(s) to be processed into the scanner. If you have a scanner with an automatic document feeder, you can load a stack of pages. If you have a flatbed scanner, place the first page of the document on the platen. 2. Click the Scan icon on the Pagis ToolBar to display the Scanner tab (Figure 3–4).
Contents Index 4. Click the Scan button on the Scanner dialog box. ☞ With most flatbed scanners, Pagis Pro can perform a two-pass scan. This optimizes binary (black and white) scanning for the text layer and color scanning for the graphics layer. If you select Letter as the page type, or Photograph, Pagis Pro will only perform a one-pass scan. This is because Pagis Pro does not need to segment the resulting file into multiple layers.

Contents Index COPYING A DOCUMENT When you direct Pagis Pro to copy a document, it automatically does so in two stages: scanning the original document; then printing it to the specified printer. Pagis Pro can make very good quality copies using practically any supported scanner/printer combo. However, if you have both a color scanner and a color printer, Pagis Pro can make excellent color copies.

Contents Index FAXING A D OCUMENT In Pagis Pro, faxing a document involves three separate operations—scanning the original document; optimizing the image quality; and sending the image(s) to your fax software (for example WinFax™ Pro). After Pagis Pro sends the image to your fax software, you specify the fax phone number and send the fax as you ordinarily would. Refer to the documentation that came with your fax software for additional instructions.

The first page of the document is scanned. A Fax Progress dialog displays the status of the job. Contents Index E-MAILING A XIF IMAGE If you have electronic mail (such as AOL or Microsoft Outlook) installed, you can e-mail documents of any format to other electronic mail users. Using Pagis, you can even e-mail a XIF document attached to a Pagis MiniViewer to a Windows user who does not have Pagis. The recipient then just double-clicks on the received file to open and view it.
Contents Index no conversion Select if the recipient has either Pagis or Pagis Viewer installed. JPEG Select if you wish to convert the XIF file to JPEG format at the recipient's end. Contents Index REFINING AND ANNOTATING A D OCUMENT With the Pagis Editor, you can color correct, straighten, crop, and reorder pages in a scanned XIF document. You can also add annotations and draw emphasis to key parts of the document. To perform those editing tasks on a XIF document, do this: 1. In the Pagis Inbox or other folder, double-click the XIF document that you want to edit. Pagis Pro displays the document in the Pagis Editor window (Figure 3–13).

Contents Index SCANNING AND TYPING INTO A FORM The Pagis Editor also provides tools to scan a form, detect the form fields, and enter text into these fields. For example, you might want to scan and fill out a purchase order, invoice, loan application, or tax return. After you fill out the form, it is ready to be printed, faxed, e-mailed, or saved. To scan and type into a form, use the following procedure: 1. Place the form to be scanned into the scanner. 2. Click the Edit icon on the Pagis ToolBar.

The detected fields are placed in a layer above the image file in cyan (light blue) for higher visibility. 8. Prepare to type into the fields. 3–24 • You can edit the size of any field. Click it to display corner handles. Click and hold on a handle and move it until the field is the desired height and width.

Contents Index SCANNING A DOCUMENT I NTO A TEXT APPLICATION You can scan a document directly into a text application such as MS Word or MS Excel to begin working on it immediately. Pagis scans the document, then uses the built-in TextBridge OCR to recognize and convert the scanned document. The converted document then opens automatically in the text application. Follow these steps to scan a document directly into any application on your system. 1. Place the page(s) to be processed into the scanner. 2.

Contents Index SEARCHING FOR A D OCUMENT The Pagis Pro Search Tool provides a powerful means to find and access scanned and electronic documents on your hard drives, Jaz™ (and other removable) drives, and CD-ROMs. Using the Search Tool, you can define simple or complex searches to find any electronic text file, any scanned image file that contains text, or any file to which you assigned keywords.

Before you begin a search, you can also specify a number of search parameters—for example, search options such as Match Case, date and time conditions, keywords that you had previously assigned, and so on. Contents Index RUNNING OCR ON A D OCUMENT Built into Pagis Pro is ScanSoft’s award-winning TextBridge Pro OCR (optical character recognition) program. TextBridge Pro provides a range of features that no other OCR program can match. In addition, TextBridge Pro is designed to be very easy to use—either as a standalone program or from within Pagis Pro. There are several ways to use TextBridge Pro: ◆ Standalone—TextBridge Pro is available from the Windows Start menu in the Pagis Pro program group.

Contents Index Pagis commands in the File menu In the Pagis Inbox folder, the File menu includes the standard Windows commands—New, Create Shortcut, Delete, Rename, Properties, Close and, when a file is selected, Open and SendTo. When you select a Pagis (XIF) image specifically, additional commands appear in the File menu (Figure 4–2). These commands enable you to stack and unstack, convert, and update Pagis documents in Pagis search databases.

In addition, the Pagis ToolBar, Pagis SendTo Bar, and Thumbnails commands are provided to control the display of Pagis-related options in the Pagis Inbox view (see Figure 4–1). Document thumbnails Another powerful Pagis Inbox feature is Thumbnails view, which you get by selecting the Thumbnails command in the View menu.
Contents Note Index The first time you open a Pagis Folder, or switch to Thumbnail view, Pagis creates a thumbnail image of every supported text and image file in the folder. This process can take several minutes if you have a large number of files. Check the status bar at the bottom of the window to determine when thumbnail creation is complete. Wait until the process is complete before doing anything else on your computer.

Changing SendTo Bar options The SendTo Bar Properties dialog box enables you to modify its look and feel.

Creating a Pagis Folder To convert a standard Windows folder into a Pagis Folder: 1. Locate the Windows folder you want to convert to a Pagis Folder. 2.

Contents Index To maintain the small file size, Pagis Pro provides optimal data compression to each layer in the XIF file. This means you can scan a full-color magazine article and save it in a file smaller than 100Kb on your hard drive. With conventional scanning software, and no file compression, the same file would be upwards of 10 Mb in size. Enhanced context menu When you right-click on any file in Windows, a context menu appears with commands such as Open, Print, Copy, Create Shortcut, and so on.

Supported formats include most popular word processor and image formats. For a complete list, see Appendix A, “Supported Programs and File Formats.” Complete the following steps to easily add new files to the database from the context menu: 1. Open the Pagis Inbox or a Pagis Folder. 2.
Contents Index With multiple documents selected, when you display the context menu, if none of the selected files are supported for inclusion in a Pagis search database, the Update Pagis Search Database command is not available. If some of the selected files are, and some are not, supported for inclusion, Pagis generates an error message: Pagis cannot update the Pagis Search Database for one or more files that were selected. Please change your selection and try this operation again.

Contents Index SCAN TOOL (SCANNER, COPIER, FAX) The Scan Tool (Figure 4–14) is the central document capture and communication program in Pagis Pro. It includes the scan, copy, and fax controls. The Scan Tool directly controls your scanner (or digital camera), or connects to the device’s TWAIN interface. Either way, with the Scan Tool, you can capture paper documents, and save them as XIF files, or send them to a printer or fax program. Click one of the tabs to bring it to the front Figure 4–14.
Contents Index Setting up your scanner or digital camera to work with Pagis The first time you open the Scan Tool after installing Pagis, the Scanner Setup Wizard appears. The Scanner Wizard guides you through the process of selecting your scanner or digital camera to use with Pagis Pro, and if necessary, helps you diagnose and fix any problems it encounters. This section discusses information you need to know about using your scanner or digital camera with Pagis.

Once your scanner tests successfully with the Wizard, the Successful Scanner Connection dialog box appears. Contents Index Specifying scanner properties In the Scan Tool, scanner properties define how you want to scan the document; specifically the color depth and resolution, the brightness and contrast levels, and the page size. To specify scanner properties, use the following procedure. Note If you set up Pagis Pro in the Scanner Setup Wizard to run your scanner with its own TWAIN interface, you will specify all scanner properties in the TWAIN interface. You will not have access to Pagis scanner properties.

Contents Index 4. Specify color and resolution. • Text—If you plan to run OCR on the scanned document, make sure to specify a resolution of 300 to 400 dots per inch (dpi). Also click the Enhance for OCR Accuracy checkbox for best results. • Picture—For most practical purposes, a resolution of higher than 200 dpi is unnecessary. However, you are limited only by the highest resolution your scanner supports. • Color—Most popular color scanners support 24-bit color (millions of colors).

Every time you scan a document with a particular page type, it is automatically given these attributes. You can later search your Pagis search databases for documents based on this information. If you are not sure, the Any Document page type is the default and works well for most documents. Select Letter if you are scanning a simple black and white document (letter, memo, or report for example). Scanning is faster and the file will take up little space. Select Magazine Article if your document has both text and pictures.
Contents Index 5. Specify Save and Close options on the Scan Tool. The Auto Save checkbox is on by default. This automatically saves the document to the default file name and location specified in Auto Save properties. To display a standard Save As dialog box when scanning is complete, click the Auto Save checkbox off. The Close when done option is off by default. Click the checkbox on if you want the Scan Tool to stay open after you finish scanning a document. 6. Click the Scan button on the Scanner tab.

Contents Index Scanning a double-sided document to a XIF file If your scanner is equipped with an automatic document feeder (ADF), you can scan a stack of pages and have Pagis Pro process them continuously. Additionally, with an ADF, you can process double-sided documents and have Pagis Pro automatically collate them. Note This feature is available only on scanners with an ADF, or sheetfed scanners that can accept a stack of pages. It does not work with flatbed or single-page-at-a-time sheetfed scanners.
Contents Index 4. Click the Properties button to fine-tune settings for the document you are about to scan. For example, you might want to adjust scanner brightness, color depth, or resolution, or turn on or off some of the page refinement settings. Additionally, you might want to specify a file name and location for the scanned document. Finally, you might want to add keyword search properties for the document.

Scan the reverse sides of the double-sided document. • Turn the stack of pages over in the scanner so that the reverse sides of the pages are scanned in descending order (for example, 10, 8, 6, 4, and 2). • Click the Other Side button to start scanning. The Scanner Progress dialog box continues to track the scanning status. Note that, as the even-numbered (reverse) pages are scanned, they are collated and appear in the thumbnail view in correct order. 8.
Contents Index During scanning, Pagis Pro automatically converts the scanned data into the target application’s file format. When scanning is complete, Pagis Pro launches the target application and sends it the formatted data. To scan a document directly into an application: 1. Place the original document or photograph in the scanner. 2. Click the Scan icon on the Pagis ToolBar to display the Scanner tab (refer to Figure 4–14). 3. Select the page type of the document to be scanned.

A More Pages dialog box appears allowing you to select a different page type for this next page (refer to Figure 4–24). 9. Specify the page type for the next page, and click the Scan button. 10. Continue from Step 8 to scan additional pages. When you finish scanning, go to Step 11. 11. On the Scanner Progress dialog box (refer to Figure 4–23), click the Done button.

Note The Prescan option is grayed out when you set up Pagis Pro to use a TWAIN scanner’s own dialog box, or if you are using a scanner with an ADF. Also, Prescan does not work with digital cameras. 1. Place the page to be processed onto the scanner flatbed. 2. Click the Scan icon on the Pagis ToolBar to display the Scanner tab (refer to Figure 4–14). 3.

If you only have one printer connected to your PC, you do not have to select a printer for the Copy function. However, if your PC is on a network, or you have more than one printer connected, use the following procedure to select a printer: 1. Click the Copy tool on the Pagis ToolBar. This starts up the Pagis Scan Tool with the Copier tab in front (Figure 4–26). 2.

Select and set up the printer you intend to use in the Copy process. • From the Printer Name list box, select the printer. • Specify paper size, source, and page orientation. • Click the Properties button to define additional options such as print quality. Reduce To Fit automatically resizes the scanned page so that it will fit within the selected paper size (taking into account the selected printer’s built-in nonprintable margins). 50% reduces the scanned image to half its original size. 62% reduces an 11-by-17-inch page to 8.5-by-11 inches (letter size). 71% reduces an 8.5-by-14-inch page so that it will fit onto an 8.5-by-11 inch page.
Contents Index 4. Specify whether you want page collation. Click Collate Copies on if you are scanning more than one copy of a multiple-page document. Pagis Pro then prints all document copies in correct page order, one at a time. 5. Click the Color Copy checkbox on to make color copies. If you have both a color scanner and a color printer, this checkbox is available to you. 6. Click the Properties button to further fine-tune scanner and page refinement settings.
Contents Index 3. Click the Copy button on the Copier tab to begin the copy process. As the page is being scanned, a Copier Progress dialog box tracks scanning status. After the page is completely scanned, it is printed immediately and the Copier tab (refer to Figure 4–26) is redisplayed. However, if you have collation turned on, the page appears as Page 1 in the Copier Progress dialog box. Additional buttons are added to copy more pages or begin the printing phase of the copy process (Figure 4–27).

If you would prefer to save the document, then copy (print) it later, use the Scanner Tab to scan the document to a XIF document on your system. Check on or off the settings that you want to apply to the current page, then click OK in the Auto Refine dialog box. The settings in the Auto Refine dialog box are the same settings that you can specify during scanning.

Contents Index Rotating pages In the Page menu of the Pagis Editor, the Rotate command provides a cascading menu with four options—Right 90°, Left 90°, 180°, and Any Angle. The first three commands rotate the entire page the specified number of degrees. The Any Angle command, which only works on unsegmented pages, displays a dialog box that lets you manually specify degree and direction of rotation (Figure 4–44). Contents Index Making Annotations in a Pagis document To make comments on scanned documents and to highlight information, you can use annotation tools provided in the Pagis Editor. Annotation tools include a Highlighter, Margin Note, Sticky Note, Arrow, Line, Circle, Square, Freehand, and Stamps. Annotation tools are described in Table 4–11 and illustrated in Figure 4–40 earlier in this chapter.
Contents Index 3. Create the annotation. If it is a text annotation (Margin Note, Sticky Note), a typing cursor appears and you can type in the text of your annotation. You can change to the selection arrow to resize the box that contains the text annotation. These features provide simple, efficient means to fill out college applications, loan applications, and so on. Contents Index Analyze and fill out the form 1. Scan the form into the Editor. ☞ For best results, scan, touch up, scale and otherwise prepare the blank form before filling it out. 2. Detect fields. The Detect Fields command runs an analysis of the currently displayed form, detects fields, and inserts empty text annotations in each field. Detect Fields then selects the first text annotation. If the Detect Fields command detected and arranged all fields properly, go to Step 4 to fill out the form.

To create a new field, choose the Add Field command from the Forms menu, the Add Field command changes the mouse pointer to a text annotation symbol: Click and drag the mouse any where on the displayed page to create a new, rectangular text field. Contents Index In XIF format, Pagis Pro uses JPEG compression, which supports a range of compression ratios. The trade-off is loss of image quality for more compression. If you are archiving a lot of images and are most concerned about file size, adjust the slider accordingly. In contrast, if you are concerned about image quality problems that can be introduced by the JPEG compression process, choose a higher quality setting.
Contents Index In the Export File dialog box, you specify the Save In location, and the File name. From the Save as type list box, you select the output image format for the document. For some output formats, namely TIFF Uncompressed, PCX, DCX, and BMP, you can click the Options button to further define the type of data that will be stored. Contents Web Capture Tool Index Using the Web tool on the Pagis ToolBar, you can easily create shortcuts to your favorite websites. When you capture a web page, its “shortcut” is maintained as a XIF document in the Pagis Inbox or other Pagis Folder. Like other XIF documents, you can view the web shortcut as a thumbnail for a quick visual reference. In addition, web-capture thumbnails display a Browse button on them that links you immediately to the actual web site (provided it is still there).

Day by day, your hard drive and removable media fill up with data, which a week or month from now you may want to retrieve.

For example, you might maintain the Pagis Search Database as the database for your local hard drive. You could then use the Search Database Manager to create other databases that point to CD-ROMs, Jaz™ or Zip™ drives, or networked file servers.

Note that both the Jaz cartridge and the CD-ROM must have the same volume label. To index a removable drive, use the following procedure: 1. Start the Search Database Manager. 2.

Contents Index Simple searches In its simplest form, a search string is a word or phrase contained in the document or documents you want to search for. For example, to find documents about scanning, you simply type: scanning To broaden the search, you can use the comma ( , ) as a separator.
Contents Index Proximity searches Another way to define a search is by the nearness of words in the search string. You can use the operators “near”, “sentence” or “paragraph”. Here are several examples: 32-bit near scanner finds documents in which the terms “32-bit” and “scanner” occur close together. The closer together they are, the higher the document is scored. 32-bit near/2 scanner the terms “32-bit” and “scanner” must be within two words of each other. Any number can be used in this case.
Contents Index Search by example Another way to construct a search string is to use the like expression. For example: like (“The book was about a baby gorilla”) This example finds documents that contain similarities to the sample text, and rates them by relevance. Other search properties On the Search Tool main window (refer to Figure 4–65), in addition to Search Text tab, you can use four other groups of properties to define a search—Keywords, Date, Name and Type and Advanced.
Contents Index In Pagis Pro, any file type that Pagis Pro includes in a search database can be assigned a Title, Author, and Keywords. You can enter these attributes while scanning, or at anytime thereafter. (For more information, refer to “Defining keywords and other search database properties for a file” earlier in this chapter.) To search for files with any of these attributes, simply enter the information in the Title, Author, and Keywords fields.
Contents Index To search for documents created or modified within a timeframe, click the Find all files created or modified radio button, then select one of the radio buttons under this. Select: between to specify a period with a starting and ending month, day, and year.

In contrast, consider this search string: scanner or fax This string finds documents containing either the words “scanner” or “fax”, not necessarily both words.. Contents Index Enhanced Boolean searches—The Enhanced Boolean search allows you to: ◆ find roots of words (stemming) ◆ allow for typos and OCR errors (fuzzy search) ◆ find words that sound alike (soundex) Stemming—The stemming feature finds documents that contain any variation of the word searched for. For example, if you search for the word “scan”, stemming finds words such as “scanning”, “scanner”, “scanners”, “scans”, “scanned”, and so on.
Contents Index Finding out what files a database contains You can display a list of all documents in a database (or all databases on your PC) without defining any attributes. Do this: 1. Click the Search Tool icon on the ToolBar. This displays the Search Tool dialog box with the Search Text tab in front. 2. Manage Search Databases command The Manage Search Database command launches the Pagis Search Database Manager, which enables you to create, configure, schedule updates for, and otherwise maintain your search databases.

In such environments, business documents can be stored on a centralized file server and made accessible to all employees. Users with Pagis Pro on their local machines can use the Pagis Search Databases to access shared company documents, such as policy documents, employee manuals, business plans, functional specifications, and so on.
Contents Index Use annotations to comment on scanned design drawings In the Pagis Editor, you can review and annotate scanned design drawings, such as architectural drawings, computer-aided design (CAD) drawings, landscape designs, and so on. Annotations provide an excellent way to provide feedback to the originator of the document. The original designer starts by scanning his or her design drawing into XIF format (or simply converting to XIF from some other format).
Contents Index Scan invoices and e-mail them to customers As more people are using computers and becoming connected to the World Wide Web, using electronic mail for commerce and as a primary communication method has become more commonplace. With that in mind, if you are a small business owner, consultant or service provider, you can make use of Pagis Pro and electronic mail to send invoices to your customers.
Contents Index Pagis Pro’s Fax feature sends scanned documents directly to your fax software. Before it does, however, Pagis Pro uses its built-in image enhancement technologies to provide crisp, clean fax images before they are sent. If the document contains photographs, Pagis Pro converts them to high-quality halftones in the fax image. This assures that the person receiving the fax gets all of the information you are sending.

When you scan a document, you have the option of assigning Author, Title, and Keyword entries to it. Contents Index Scan receipts and other financial documents for tax purposes With the eXtended Image File (XIF) format, you have the option of scanning multiple hard copy documents into one or many XIF files, as you see fit. One idea is to scan and organize all of your tax documents into XIF files. For example, if you needed to save all of your 1998 expense receipts for tax purposes, you could scan them all into one XIF document, or organize them into separate XIF documents by month, or by business trip.

The XIF file is automatically created and given the name: Pagis (n).xif where n is a sequential number. With each successive XIF document that you create, the number is incremented (n + 1). The XIF file is created in the Pagis Inbox, and after printing is complete, the Pagis Inbox is opened and the file is selected automatically.
Contents Index Sending XIF files as e-mail attachments Pagis Pro works with most popular electronic mail programs that support drag and drop technology, and some that do not. In most cases, you can simply drag and drop a XIF document onto the mail program’s icon. That action opens your mail messaging dialog box, where you can address and send the mail, and automatically attaches the XIF document. You have the option of attaching the Pagis MiniViewer if the recipient does not have Pagis.
Contents Index 2. Drag the document onto the America Online (AOL) icon. This displays the AOL Welcome screen, prompting you for a password. 3. Type in your AOL password and click OK. AOL dials and makes the connection to the server as usual. Then, AOL goes through the process of attaching the selected file, opening an Attached File Window, and opening up a new mail message dialog box. Do not interact with AOL while this is occurring.

Contents Index C Create New Shortcut wizard—A program in Pagis Pro that enables you to add new program shortcuts to the Pagis SendTo Bar. D digital camera—A device that resembles and works like a typical film camera. Instead of film, however, a digital camera uses built-in computer memory to store photographs as bits of data (digitally), typically in JPEG format.
Contents E Index edit box—In Microsoft Windows dialog boxes, a rectangular field into which you can type new text (for example, a file name) or make changes to (“edit”) existing text. For example, in Windows, when you click on a file name, it changes to an edit box so you can change the file name. In an edit box, you can select a point inside the text string to type new text; alternatively, you can highlight part or all of the text string and type over it. You can cut and paste text, and so on.
Contents Index G grayscale—A method of storing each pixel of an image as more than one bit of data. For example, four-bit grayscale data stores each pixel of an image as four bits of data. This enables a finer representation of the original data than simple binary (black and white, or one-bit) data. H halftone—An image composed of differently sized black dots spaced in such a way as to simulate the different gray tones of an original photograph or color drawing.
Contents Index J JPEG—Pronounced JAY-peg, this is a compressed graphic image format. It is created by choosing from a range of compression qualities (actually, from one of a suite of compression algorithms). When a JPEG is created or converted from another image format, some trade-off is made between image quality and file size. Formally, the JPEG file format is ISO standard 10918. JPEG is a file type supported by the World Wide Web protocol, usually with the file suffix of .jpg.
Contents P Index page image—A binary (black and white) or color representation of a page stored in computer memory, or on disk in an image file. Pagis Editor—One of a suite of programs in Pagis Pro, enabling you to view, refine, annotate, picture edit, and otherwise manipulate scanned XIF documents (and other image file formats).
